Position Summary MacDonald Training Center (MTC) is seeking a detail\-oriented and organized Administrative Specialist to provide administrative and operational support. This position assists with records, compliance tracking, onboarding logistics, reporting, and general administrative activities while ensuring accuracy, confidentiality, and efficient processes. Key Responsibilities: Serve as a helpful point of contact, directing questions and requests to the appropriate resources. Provide administrative support to senior executive and assist with daily departmental operations. Maintain accurate employee information within the organization’s database, including data entry, changes, and record updates. Track completion of required trainings, certifications, policy acknowledgements, and regulatory requirements. Coordinate events and activities, and committee meetings as assigned. Manage employee ID badge assignments and maintain equipment tracking records. Assist with employee benefits administration by preparing documentation, processing enrollment and status changes, and coordinating information with benefit providers. Support leave administration by collecting documentation, tracking requests, and coordinating required paperwork. Coordinate background checks, drug screenings, reference checks, and other pre\-employment activities. Assist with onboarding logistics, including new hire paperwork, orientation scheduling, and coordination of interns, volunteers, and on\-the\-job training participants. Monitor and maintain driver qualification documentation. Assist with preparing materials, tracking documentation, and processing required information. Coordinate administrative activities related to organizational insurance renewals and maintain associated documentation. Maintain accurate and confidential files, both electronic and paper, including scanning and document management within database. Assist with reporting, record reviews, and documentation requests to ensure file completeness and accuracy. Perform high volume of general administrative duties including filing, scanning, copying, data entry, correspondence, and document management. Ensure required documentation is completed and appropriately filed. Maintain records in accordance with organizational procedures. Maintain and update forms, and administrative processes. Maintain strict confidentiality of information. Comply with all policies and procedures, including safety requirements and applicable regulatory standards. Foster a collaborative and professional work environment. Support special projects and perform other duties as assigned. Qualifications Associate’s degree is preferred with a minimum of 4\-6 years of strong administrative support experience. Exceptional organizational \& attention to detail skills. A reputation for reliability and follow\-through. A service\-oriented mindset with a high level of professionalism. Ability to maintain confidentiality and exercise discretion with sensitive information. Coachability and willingness to follow established processes. Must be comfortable with repetitive processes, and able to execute established procedures consistently. Reliability and accountability. Customer service and communication skills. Has the ability to maintain a consistent, dependable, and regular work schedule. Excellent interpersonal skills and commitment to MTC is necessary and strong written and oral communication skills are required. Establish and maintain positive and collaborative working relationships, both internally and externally. Strong proficiency with Microsoft Office and database systems.
