Role The Executive Assistant exists to protect the two co\-founders’ time, focus, and energy by taking ownership of the administrative, scheduling, financial, communication, and operational details that should not stay on their plate. This is a full\-time, in\-person, individual contributor role for someone who is highly organized, proactive,trustworthy, and comfortable becoming a reliable right hand to the co\-founders. Success in this role comes from noticing what needs to be handled, following tasks through to completion, and using sound judgment to either complete the work directly or help route it to the right person. Responsibilities Manage the two co\-founders’ calendars, inboxes, scheduling, reminders, and follow\-ups. Take administrative and operational tasks off the co\-founders’ plates by completing them directly or helping route them to the right person. Track priorities, prepare daily reminders, capture action items, and help keep important work moving without repeated follow\-up. Prepare documents, notes, numbers, files, screenshots, and other materials needed for meetings,calls, legal conversations, and coaching sessions. Support recurring financial and administrative workflows, including receipts, bank balances,bookkeeper prep, payroll support, and related documentation. Coordinate team communication, filing systems, SOPs, travel, mail, packages, supplies, errands,office support, setup tasks, and launch\-day support when needed. Results When someone is excellent in this role, the following are consistently true: The two co\-founders are consistently prepared, organized, and focused on the work only they can do. Calendars, inboxes, reminders, follow\-ups, and action items are managed reliably with minimal oversight. Important legal, financial, administrative, and operational items are tracked, routed, and completed accurately. Meetings are prepared, next steps are captured, and communication is clear and timely. High\-priority tasks are completed with speed, accuracy, discretion, and full ownership. Requirements Must\-Have Experience in an executive assistant, administrative support, operations support, or highly detail\-oriented coordination role. Strong calendar, inbox, task\-management, and follow\-up skills. High level of trustworthiness, discretion, and judgment with confidential financial, legal, personal,and company information. Strong written communication skills and comfort using technology, learning new tools, and working across digital systems. High attention to detail and comfort learning, documenting, and owning recurring processes involving files, receipts, financial documents, and administrative workflows. Strong judgment around what to handle independently, what to route, and what requires co\-founder approval. Physically able to move around the building, go up and down stairs multiple times per day, pick up packages, organize spaces, assist with setup tasks, and help pack orders on launch days. Nice\-to\-Have Experience with QuickBooks, receipt management, bookkeeping prep, or CPA\-facing workflows. Experience supporting business owners, founders, or executives. Experience creating SOPs, improving administrative systems, or using AI tools to draft, organize,summarize, or improve work.
