The Safe Community Project is seeking a highly organized, reliable, and mission\-driven Project Coordinator / Executive Assistant to support our Executive Director, field operations team, public\-facing events, partner coordination, and grant\-related reporting. This is a hybrid role that combines project coordination, executive support, event logistics, partner communication, data tracking, and operational follow\-through. The right candidate will be comfortable managing details, working with spreadsheets, coordinating with outside partners, and helping ensure that meetings, presentations, events, and reporting requirements are completed accurately and on time. This is a W\-9 independent contractor position, not a traditional employee role. The initial engagement will be for six months, with the option for a one\-year renewal based on performance and organizational needs. Position Details Job Type: Contract Pay: $23–$28 per hour, depending on experience and qualifications Contract Length: Initial six\-month term, with option for one\-year renewal Work Location: Hybrid; two required in\-office days per week, remaining work may be remote Reports To: Executive Director Organization: The Safe Community Project About the Role The Project Coordinator / Executive Assistant will help support the organization’s public safety, community outreach, training, and partner engagement work. This person will track meetings, events, presentations, supplies, metrics, and follow\-up items while also supporting the Executive Director with scheduling, presentations, materials, and coordination with public officials, fire officials, first responder agencies, community organizations, and other partners. This is a results\-focused role. We are looking for someone who can take ownership of assigned responsibilities, communicate clearly, keep accurate records, and help make sure important details do not fall through the cracks. Responsibilities Responsibilities may include: Track meetings, events, presentations, trainings, workshops, and public\-facing activities Maintain records of outreach to the public, elected officials, fire officials, first responder partner agencies, and community partners Coordinate logistics for safety fairs, workshops, training sessions, public presentations, and other events Assist with event preparation, including materials, supplies, scheduling, attendee tracking, and follow\-up Support grant reporting by collecting and organizing results, activities, metrics, and program outcomes Work with field operations team members to ensure they have the supplies, materials, logistics support, and data\-gathering tools they need Support the Executive Director with presentations, trainings, meetings, scheduling, materials preparation, and follow\-up communications Assist with coordination involving elected officials, fire officials, public agencies, partner organizations, and community stakeholders Help coordinate communications or materials involving social media, video, audio, podcasts, partner organizations, or public\-facing content Maintain spreadsheets, contact lists, activity logs, reports, calendars, and project tracking documents Help improve internal systems for tracking activities, deliverables, metrics, and follow\-up items Qualifications The ideal candidate will have: Strong organizational and project coordination skills Excellent written and verbal communication skills Strong attention to detail Experience using spreadsheets to track activities, contacts, metrics, deadlines, or project information Comfort using word processing software, shared documents, calendars, and collaboration tools Experience coordinating meetings, events, workshops, trainings, or public\-facing activities Ability to communicate professionally with outside partners, public agencies, elected officials’ offices, first responder agencies, vendors, and community organizations Ability to work independently and follow through without constant supervision Good judgment, reliability, discretion, and professionalism Ability to manage multiple priorities and keep projects moving Preferred Experience The following experience is helpful but not required: Nonprofit operations Project coordination or project management Executive assistant or executive operations support Grant reporting or grant\-funded program tracking Event logistics Public safety, fire service, emergency management, or community outreach Working with government agencies, elected officials, public agencies, or first responder organizations Social media, podcast, video, audio, or communications coordination Who Will Be Successful in This Role The successful candidate will be proactive, organized, dependable, and comfortable supporting both executive\-level work and hands\-on project coordination.
