EXECUTIVE ASSISTANT Location: La Jolla, CA office (primary), with hybrid / remote flexibility for portions of the week Hours: Part\-Time (20–25 hrs/week) or Full\-Time (40 hrs/week) — candidates should indicate their preference and availability Compensation: $25–$30/hour, depending on experience and schedule Job Summary CEO of a restaurant group is seeking a highly organized, proactive, and trustworthy Executive Assistant. This is a hybrid role: part traditional EA, part personal assistant, with light project\-management and coordination responsibilities layered in. The ideal candidate is equally comfortable managing an inbox and calendar as they are running errands, coordinating with household vendors, and helping keep family logistics on track. A valid driver's license, clean driving record, and reliable vehicle are required, as the role includes regular local driving and errands. Key Responsibilities 1\. Email Management Monitor and respond to emails on behalf of the CEO Prioritize and flag important messages Draft and edit email correspondence 2\. Calendar Management Schedule and coordinate meetings, appointments, and events Send calendar invites and reminders Resolve scheduling conflicts in a timely manner 3\. Travel Coordination Arrange domestic and international travel, including flights, accommodations, and transportation Prepare travel itineraries and ensure all details are covered Handle last\-minute changes and emergencies efficiently 4\. Document Management Edit and proofread documents for accuracy and clarity Prepare presentations, reports, and other business documents Maintain and organize digital files and records 5\. Vendor Communication Liaise with vendors and service providers, and pay bills Obtain quotes, negotiate contracts, and handle invoicing Ensure timely delivery of goods and services 6\. Meeting Support Prepare agendas and materials for meetings Take and distribute meeting minutes Follow up on action items and deadlines 7\. Project Coordination Assist with special projects as assigned, business and personal Track project progress and follow up without needing to be chased Coordinate with various people (family members, business contacts, vendors) to keep timelines on track 8\. Administrative Support Handle confidential and sensitive information with discretion Manage office supplies and equipment orders Perform general administrative tasks as needed 9\. Client Relations Serve as a point of contact for clients and stakeholders when needed Ensure prompt and professional communication 10\. Technology Proficiency Utilize Microsoft Office, Google Workspace, LastPass, and project/email management tools to enhance productivity Troubleshoot minor technical issues 11\. Personal Assistant \& Household Support Run errands using own vehicle — bank, post office, shopping, returns, and pickups/drop\-offs Coordinate with nanny services, housekeepers, and home improvement vendors Order meal prep programs and manage other recurring household services Send thank\-you gifts and manage other personal correspondence Support with personal appointments, reservations, and day\-to\-day logistics 12\. Family Coordination Help coordinate schedules for children — activities, appointments, and childcare logistics Communicate with family members, schools, and caregivers as needed Support planning for family trips, events, and milestones Qualifications Proven experience as an Executive Assistant or in a similar administrative/personal assistant role Excellent written and verbal communication skills Strong organizational and time\-management abilities Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software Valid driver's license, clean driving record, and reliable personal vehicle Based in or near San Diego, able to work from the La Jolla office regularly Ability to work independently with minimal supervision High level of discretion and confidentiality Strong problem\-solving skills and attention to detail Flexibility to adapt to changing priorities and handle multiple tasks simultaneously Pay: $25\.00 \- $30\.00 per hour Benefits: 401(k) 401(k) matching Flexible schedule Health insurance Application Question(s): What is your ideal schedule?
