Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Handle multi\-line phone systems efficiently, screening calls and taking messages accurately. Perform data entry tasks using productivity software such as Microsoft Office and Google Workspace, ensuring accuracy and timeliness. Maintain organized filing systems, both physical and digital, including medical or dental records if applicable. Assist with calendar management and scheduling appointments for staff or clients using calendar management tools. Support bookkeeping activities utilizing QuickBooks or similar accounting software, including invoicing and expense tracking. Provide customer service support by responding promptly to inquiries and assisting with administrative needs. Conduct proofreading of documents for clarity and accuracy while ensuring all materials meet quality standards. Manage office supplies inventory, reorder stock as needed, and ensure the office remains well\-organized. Support personal assistant tasks such as travel arrangements or special project coordination when required. Experience Previous office management or administrative experience is essential; familiarity with clerical tasks such as filing, data entry, and document proofreading is highly valued. Proven proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Experience working with bookkeeping software like QuickBooks or similar platforms is preferred. Strong organizational skills with the ability to multitask effectively in a fast\-paced environment. Excellent communication skills in English; bilingual ability in additional languages is a plus. Familiarity with multi\-line phone systems, customer support protocols, and front desk operations enhances your success in this role. Knowledge of medical or dental receptionist duties is advantageous but not required; training will be provided if necessary. Demonstrated time management skills with the ability to prioritize tasks efficiently while maintaining high productivity levels.
