Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role is the heartbeat of our daily operations, ensuring that administrative functions run smoothly and efficiently. As an Office Administrator, you will be the first point of contact for visitors and clients, manage essential office tasks, and support various departments with your exceptional organizational skills. Your proactive approach and attention to detail will help foster a productive, welcoming environment where everyone can thrive. Duties Manage front desk operations, including greeting visitors, answering multi\-line phone systems, and providing excellent customer service with professional phone etiquette. Oversee office management tasks such as filing, data entry, and maintaining organized records using productivity software like Microsoft Office and Google Workspace. Handle calendar management and scheduling for meetings, appointments, and personal assistants as needed. Perform bookkeeping duties using QuickBooks to track expenses, invoices, and financial records accurately. Support clerical functions including proofreading documents, managing correspondence, and ensuring timely completion of administrative tasks. Assist with medical or dental receptionist duties if applicable, including patient check\-in/out and appointment scheduling. * Coordinate office supplies procurement and manage vendor relationships to ensure the office remains well\-stocked and operationally efficient. Experience Candidates should bring a strong background in office administration with proven experience in office management or clerical roles. Prior experience with data entry, bookkeeping, or customer support is highly valued. Bilingual skills are a plus to assist diverse client needs. Candidates must demonstrate excellent organizational skills, technical proficiency with productivity software (Microsoft Office, Google Workspace), and strong time management abilities. Experience working in medical or dental reception is advantageous but not required. A solid understanding of phone etiquette, filing systems, and calendar management will ensure success in this role.
