The Executive Assistant will provide high\-level administrative and organizational support to the ceo. This role is critical to ensure efficient executive operations and seamless coordination of leadership and board\-related activities. The position requires discretion, strong organizational skills, initiative, and the ability to manage multiple priorities in a fast\-paced, mission\-driven environment. Responsibilities: \Manage complex calendars for the President \& CEO and Director of Operations. \Prepare correspondence, reports, presentations, and meeting materials. \Maintain confidential files and sensitive organizational information. \Assist with strategic projects and special initiatives as assigned. \Develop and distribute annual meeting calendars. \Prepare and distribute meeting notices, agendas, and board packets. \Compile reports and supporting documentation from leadership team members. \Act as the point of contact among executives, employees, clients and other external partners \Manage information flow in a timely and accurate manner \Manage executives' calendars and schedule meetings \Handle internal and external communications, draft correspondence \Organize and coordinate meeting logistics for staff and board members \Anticipate the needs of the organization and create efficiencies amongst the leadership team \Manage general office needs: Screen and direct phone calls, distribute correspondence, troubleshoot, maintain and order supplies. \Track and follow up on key action items, decisions, and deliverables on behalf of the executive team. \Prepare executive reports, information, summaries, and background materials to support informed decision\-making. \Build and maintain strong, professional relationships with internal and external stakeholders on behalf of the executive team. \Serve as the liaison between executive leadership, and the onsite IT team, communicating technology needs, troubleshooting issues, and ensuring timely resolution.
