Position Overview We are seeking a highly organized, proactive, and detail\-oriented Executive Assistant / Personal Assistant to support a founder, attorney, investor, and family office executive. This role combines traditional executive assistant responsibilities with personal assistant, household management, travel coordination, and project management functions. The ideal candidate is resourceful, technologically savvy, highly responsive, and capable of managing a wide variety of business and personal responsibilities with professionalism, discretion, and attention to detail. This position is best suited for someone who enjoys creating order from complexity, solving problems independently, and serving as a trusted partner in both professional and personal matters. Key Responsibilities Executive Support Manage and prioritize a complex business and personal calendar. Coordinate meetings, calls, conferences, events, and appointments. Monitor communications and assist with email management, follow\-up, and task tracking. Prepare meeting materials, agendas, and action item summaries. Track deadlines, commitments, and ongoing projects. Coordinate with attorneys, accountants, advisors, clients, vendors, and business partners. Assist in managing day\-to\-day administrative and operational matters. Travel \& Logistics Coordinate domestic and international travel arrangements. Manage flights, hotels, transportation, reservations, itineraries, and travel documentation. Prepare detailed travel schedules and contingency plans. Coordinate travel logistics for family members and guests when necessary. Assist with vehicle registrations, maintenance scheduling, and transportation logistics. Household \& Personal Management Coordinate domestic employees and household service providers. Manage vendors, contractors, maintenance providers, and recurring household services. Assist with personal scheduling, appointments, memberships, and family logistics. Coordinate household projects and special initiatives. Maintain organized records, documents, warranties, and household information. Property \& Lifestyle Administration Assist with the administration of multiple properties and related vendors. Coordinate maintenance schedules, inspections, repairs, and improvement projects. Assist with equestrian\-related scheduling, transportation, appointments, and logistics. Manage personal projects and special assignments as needed. Technology \& AI Operations Utilize modern productivity tools and AI platforms to improve organization, efficiency, communication, and workflow management. Assist in implementing and maintaining AI\-powered systems for scheduling, task management, meeting notes, knowledge management, and project tracking. Demonstrate curiosity and willingness to learn and adopt new technology solutions. Operate effectively in a technology\-forward and AI\-focused work environment. Qualifications Minimum 3 years of experience supporting a senior executive, entrepreneur, attorney, investor, or private household. Strong organizational and project management skills. Excellent written and verbal communication abilities. Exceptional attention to detail and follow\-through. High degree of discretion and professionalism when handling confidential information. Proficiency with Microsoft Office, Google Workspace, Apple devices, and modern productivity software. Comfort learning and utilizing AI\-powered tools and workflows. Ability to prioritize effectively, manage competing demands, and work independently. Positive attitude and willingness to take ownership of responsibilities. Preferred Qualifications Experience supporting a business owner, entrepreneur, family office executive, attorney, or investor. Experience coordinating travel, household operations, and vendors. Familiarity with project management platforms and AI productivity tools. Experience managing both business and personal responsibilities for a principal. Success in This Role The successful candidate will become a trusted partner who keeps business, travel, household, and personal affairs organized and running smoothly.
