This is preferably a full\-time position, with flexibility for the right part\-time candidate of at least 30 hours per week. We offer a flexible start date, but sooner would be better. What You’ll Do As the Client Services Coordinator / Front Office Legal Assistant, you will often be the first point of contact for new and existing clients, whether in the lobby, by phone, or by email. Your role is essential to smooth office operations and excellent client service. Key responsibilities include: Phone and Email Management: Answer phones, respond to messages, filter incoming communications, direct new client inquiries, and help determine whether a consultation or referral is appropriate. Client Screening: Conduct conflict checks, identify case types, and confirm client details for new and returning clients. Scheduling and Calendar Management: Schedule and confirm appointments, manage attorney calendars, consider urgency, and help match clients to the appropriate attorney. Client Intake: Gather background information, assist clients with intake forms, and prepare information for attorney review. This may include property or business research using online resources such as qPublic, GSCCCA, the Georgia Secretary of State website, and property tax records. File and Client Management: Open and close client files, manage physical and digital records, and ensure accurate data entry in the firm’s software, including Clio, DecisionVault, and WealthCounsel. Financial Transactions: Collect consultation fees, send trust requests, generate invoices, and process payments. Office Upkeep: Maintain the conference room and lobby, restock supplies, and help ensure a welcoming and hospitable environment for clients. Document Handling: Prepare mailings and type drafts of documents. Ensure accuracy and timeliness in document preparation and delivery. General Assistance: Assist attorneys and staff with client service, office organization, and other necessary tasks. After mastering the front office role, there will be opportunities to gain additional responsibilities. We would love for the right person to learn skills such as title abstracting, document preparation, and more advanced legal support work. Successful team members often learn to do something especially well and find their niche. Who You Should Be The right candidate should be: Honest, ethical, and discreet with confidential client information Detail\-oriented, organized, and able to manage multiple tasks A strong communicator in person, by phone, and in writing Comfortable with Microsoft Office and able to learn new software quickly A team player who works well with others A proactive problem solver Resourceful and willing to work through unfamiliar issues instead of waiting passively for someone else to solve them Reliable and able to handle a fast\-paced work environment Resilient, flexible, and willing to keep learning Qualifications A combination of education and experience that equips you to fulfill the duties described above Substantial experience with Microsoft Office or other administrative software Comfort learning and using multiple computer programs throughout the workday Ability to research independently Customer service experience is a major plus Positive references and ability to satisfy appropriate background\-check requirements for a law office setting Past legal office experience may be helpful but is not required. Your ability to provide excellent service, stay organized, protect confidentiality, and learn quickly is more important.
