Job Overview We are seeking a proactive and organized Office Assistant to join our dynamic team. In this role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi\-line phone systems promptly, directing calls accurately and courteously Perform data entry, filing, and document proofreading to ensure accuracy and organization Manage calendar scheduling, appointment setting, and calendar management for staff Support bookkeeping tasks using QuickBooks or similar accounting software Assist with customer service inquiries via phone or email, providing excellent support and support documentation Maintain office supplies inventory, order necessary materials, and ensure cleanliness of common areas Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration Handle clerical tasks such as typing correspondence, managing incoming/outgoing mail, and organizing files Provide administrative support to team members as needed, including personal assistant duties when required Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment Exceptional phone etiquette and customer service skills to foster positive interactions with clients and visitors Experience with office management tasks such as filing systems, data entry, proofing documents, and calendar management Bilingual abilities are highly valued to serve diverse client needs effectively Familiarity with multi\-line phone systems, clerical procedures, and basic bookkeeping using QuickBooks or similar software Strong time management skills to prioritize tasks effectively throughout the workday Previous office experience in administrative or clerical roles is preferred; experience as a receptionist or personal assistant is a plus Join us as an Office Assistant where your enthusiasm and organizational prowess will make a meaningful impact every day.
