We are looking for an exceptional Executive Assistant who can help keep him organized, protect his time, manage important details, and maximize his daily efficiency. About the Position This is not a traditional administrative position where every day looks the same. You will work directly with the CEO and Owner, assisting with business responsibilities, communication, scheduling, sales support, data entry, travel arrangements, and other day\-to\-day business and personal needs. The right person will become CEOs organizational right hand. You will ensure important tasks are completed, information is entered accurately, meetings are properly scheduled, potential customers receive timely follow\-up, and he remains focused on the highest\-value priorities for the company. He is not looking for a short\-term assistant. Primary ResponsibilitiesInbox and Communication Management Monitor, organize, and manage the CEO’s email inbox. Identify urgent emails and ensure important conversations receive timely responses. Draft and send professional emails on behalf of the CEO. Communicate with employees, customers, vendors. Organize emails, documents, and action items so responsibilities do not fall through the cracks. Create a daily, weekly, monthly task list. Follow up with individuals when information, decisions, or completed tasks are needed. Maintain a professional and consistent tone when communicating on behalf of the CEO. Calendar and Schedule Management Manage the CEO’s daily, weekly, and long\-term calendar. Schedule meetings, appointments, site visits, interviews, events, and company commitments. Prioritize the CEO’s schedule based on urgency and business impact. Prepare daily schedules, reminders, and priority lists. Protect focused work time while ensuring important people receive timely access. Anticipate scheduling conflicts and resolve them before they become distractions. Coordinate schedules with employees, customers, vendors, and other business contacts. Help ensure the CEO is focused on the highest\-value use of his time. Sales and Customer Follow\-Up Assist with preparing commercial and residential quotes. Enter customer information, measurements, pricing, job details, and notes into company systems. Organize the information needed to create accurate proposals. Follow up with potential clients regarding open quotes and upcoming projects. Track customer communication and future follow\-up dates. Help move sales opportunities through the company’s pipeline. Coordinate with the sales and operations teams when additional information is needed. Maintain accurate and up\-to\-date customer records. Help ensure no qualified opportunity is missed due to a lack of communication or follow\-up. Data Entry and Record Management Complete daily data\-entry responsibilities accurately and on time. Enter and update customer, sales, job, vendor, and company information. Transfer information between emails, spreadsheets, documents, CRM platforms, and field\-service software. Review entered information for accuracy, completeness, and consistency. Correct missing, outdated, or inaccurate information. Maintain organized digital files and company records. Update spreadsheets, reports, customer databases, and tracking documents. Handle repetitive administrative tasks while maintaining a high level of speed and attention to detail. Keep important information organized and easily accessible. Help maintain clean and reliable data across company systems. Administrative and Technology Support Prepare documents, spreadsheets, reports, presentations, and meeting notes. Use Microsoft Excel and Google Sheets to organize data, track tasks, maintain reports, and assist with business analysis. Track action items from meetings and follow up with the people responsible for completing them. Assist with online research and special projects. Maintain organized electronic files and document\-management systems. Type emails, documents, notes, quotes, and reports quickly and accurately. Navigate multiple software platforms efficiently. Learn new software and systems as the company continues to grow. Assist with basic reporting, information gathering, and administrative organization. Handle miscellaneous administrative responsibilities as they arise. Artificial Intelligence and Process Improvement Be open to learning and using artificial intelligence tools as part of daily work. Use AI to help draft communications, summarize meetings, conduct research, organize information, and prepare documents. Use technology and AI to increase speed, accuracy, organization, and overall productivity. Identify repetitive tasks that could be simplified or automated for your role. Recommend ways to improve administrative systems and workflows. Adapt to new technologies, software, and processes. Help build more efficient systems as the company grows. Review all AI\-assisted work for accuracy, professionalism, and confidentiality before it is used or sent. Travel and Personal Logistics Arrange flights, hotels, rental vehicles, and transportation. Prepare clear and organized travel itineraries. Maintain travel confirmations, reservations, receipts, and important documents. Assist with appointments, reservations, purchases, and other day\-to\-day personal logistics. Respond calmly and effectively to last\-minute changes. Help reduce distractions by handling miscellaneous tasks that would otherwise take the CEO away from higher\-value responsibilities. Anticipate needs and help solve logistical problems before they become issues. Required Skills and Qualifications The ideal candidate will be: Extremely organized, dependable, and detail\-oriented. A fast and accurate typist. Highly proficient with computers and comfortable working digitally throughout the day. Proficient in Microsoft Excel and Google Sheets. Experienced with data entry and maintaining accurate records. Comfortable learning new software, systems, and technology. Open to learning and regularly using AI tools. A strong written and verbal communicator. Able to manage several priorities without losing track of important details. Proactive and capable of anticipating what needs to happen next. Experience as an executive assistant, administrative assistant, office manager, project coordinator, sales coordinator, or similar position is preferred. Quotes and customer follow\-ups are completed accurately and on time. Daily data\-entry responsibilities are completed efficiently and without avoidable errors. Customer records, spreadsheets, reports, and company systems remain accurate and up to date. Travel and personal logistics are handled without requiring constant oversight. Tasks and action items are followed through to completion. Technology and AI are used responsibly to improve speed, organization, and efficiency. You regularly identify ways to save the CEO time and improve how the company operates. Problems are anticipated and handled before they become distractions. Luke is able to spend more time leading the team, growing revenue, developing new markets, and planning for the future. You continue taking on greater responsibility as the company grows. Compensation and Opportunity Annual salary of $50,000–$55,000, based on experience and qualifications. Full\-time position working directly with the CEO and Owner.
