Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and ensure a smooth workflow across departments. The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills. In this role, you will serve as the first point of contact for visitors and callers, manage schedules, handle clerical tasks, and contribute to a positive and efficient office environment. Your proactive approach and strong organizational skills will help us achieve our goals while providing exceptional support to our team. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi\-line phone systems to answer inquiries, transfer calls, and take messages promptly Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools Perform data entry tasks accurately using computer literacy skills, including QuickBooks for bookkeeping and financial record keeping Support calendar management by scheduling appointments, meetings, and coordinating personal assistant tasks as needed Assist with office management duties such as supply ordering, inventory tracking, and maintaining cleanliness of common areas Provide customer service support by addressing inquiries efficiently and professionally in person or via phone/email Proofread documents for accuracy and clarity before distribution or submission Handle clerical responsibilities like photocopying, faxing, mailing, and document preparation for various departments Qualifications Proven experience in an office environment with strong clerical skills and organizational abilities Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or similar bookkeeping software is preferred Excellent phone etiquette with experience managing multi\-line phone systems Bilingual abilities are a plus to effectively communicate with diverse clients and team members Strong typing skills with high accuracy; attention to detail in proofreading documents Previous experience as a receptionist or medical/dental receptionist is advantageous Demonstrated ability to manage time efficiently while handling multiple priorities simultaneously Knowledge of office management procedures and customer service best practices Join us as an Administrative Assistant and become an integral part of a vibrant team dedicated to operational excellence!
