Southern Spark Electric is looking for a highly organized, dependable Administrative Assistant / Office Coordinator to help keep our growing electrical business running smoothly behind the scenes. This role is ideal for someone who is detail\-oriented, proactive, and comfortable juggling scheduling, customer communication, invoicing, and permit\-related administrative tasks. Experience in the electrical, construction, or trades industry is strongly preferred, and permitting experience is a major plus. The right candidate will help support daily office operations, assist with project coordination, and ensure jobs move efficiently from scheduling to completion. Responsibilities Answer phones, respond to customer inquiries, and provide professional communication with clients, vendors, and team members Schedule service calls, estimates, and project work for electricians and field staff Create and manage work orders, invoices, and customer records Assist with permit applications, inspections, and related municipal paperwork Track permit status, inspection dates, and job progress to help keep projects on schedule Coordinate with utility companies, supply houses, contractors, and homeowners as needed Maintain organized digital and physical job files, contracts, and documentation Assist with billing, collections follow\-up, and basic bookkeeping/admin support Support office operations including email management, data entry, and internal coordination with the field team Help ensure a smooth customer experience from first contact through job completion Qualifications Prior administrative/office experience required Experience working in an electrical, construction, HVAC, plumbing, or other trade\-related company strongly preferred Permitting experience preferred, especially with local municipalities and construction\-related paperwork Strong organizational skills and attention to detail Excellent phone, email, and customer service skills Ability to multitask and stay calm in a fast\-paced environment Proficiency with computers, email, scheduling software, and Microsoft Office/Google Workspace Experience with invoicing, QuickBooks, or service\-based CRM systems is a plus Self\-starter with a positive attitude and strong follow\-through What We’re Looking For Reliable, professional, and trustworthy Able to take initiative without needing constant direction Comfortable communicating with customers, electricians, inspectors, and contractors Someone who thrives in a growing small business environment and can wear multiple hats Preferred Experience Electrical company office/admin experience Construction permitting and inspection coordination Service scheduling / dispatching Invoicing and collections QuickBooks or similar office software Job Types: Full\-time, Part\-time Pay: $18\.00 \- $27\.77 per hour Work Location: In person
