Job Overview We are seeking a dynamic and organized Call Taker/Dispatcher/Office Manager to join our team! This vital role combines front\-line communication, dispatching logistics, and office management responsibilities to ensure seamless operations across our plumbing and appliance repair business . The ideal candidate will be energetic, detail\-oriented, and possess excellent communication skills to coordinate service appointments, scheduling installations by managing schedules, and support daily office activities. Other responsibilities include but are not limited to coordinating with vendors for parts and supply orders and scheduling and coordinating equipment delivery. Your proactive approach will help optimize scheduling, planning, improve efficiency, and deliver exceptional service to clients and team members alike. Duties Answer multi\-line phone systems with professionalism, demonstrating excellent phone etiquette and communication skills. Manage incoming calls from clients, vendors, subcontractors, other technicians and internal teams to coordinate dispatching of service calls annd installations. Utilize CRM management systems such as Housecall Pro, Service Hub and Grasshopper to schedule appointments, track deliveries via GPS and tracking when possible , and update data entry records and client data accurately. Dispatch technicians efficiently using GPS technology and transportation planning software to optimize routes and reduce transit times. Oversee ordering, shipping \& receiving processes, ensuring accurate documentation and timely deliveries of parts and equipment and maintaining inventory. Maintain fleet management records, including vehicle status updates, maintenance schedules, and compliance documentation. Support office operations by managing supply chain documentation, data entry tasks related to logistics activities. Qualifications Proven experience with office management systems. Experience with CRM’s is a plus but willing to train. Strong, independent work ethic, the ability to remain focused while not always in office setting. Excellent communication skills with the ability to handle high\-volume calls using multi\-line phone systems while maintaining professionalism. Proficiency in data entry with high accuracy is a must. Ability to multitask efficiently in a fast\-paced environment while demonstrating strong organizational skills with the ability to prioritize.
