The position interacts routinely with Texas Department of Family and Protective Services staff, SJRC Texas\|Belong staff, and the general public. This position requires daily attendance in the office while supporting teleworking staff. This position will be responsible for managing proactively a wide range of administrative duties and processes required to support the team and regional leadership as needed. This person will work multiple priority activities concurrently that require considerable coordination and follow\-through to meet requirements. Essential Job Functions (EJFs): Performs data entry into IMPACT and other electronic programs and systems. Answers and screens telephone inquiries; takes and routes messages and assists with DFPS switchboard on a rotating basis Prepares and maintains statistical reports, leave and personnel records, case control systems, case records and related files for the unit. Process purchase orders as directed. Maintains records related to requests for Vital Records. Sends out monthly reminders for recertification of Foster Care Eligibility and Adoption Assistance benefits. Maintain logs as appropriate to ensure compliance with due dates. Types correspondence, forms narratives, travel vouchers, meeting notes, performance evaluations, and other documents to support work of the unit and files related documents. Coordinates, tracks, and maintains record keeping and filing systems for multiple projects and ongoing tasks. Assists in planning, coordination, set up, and general arrangements for special meetings, conferences, and training sessions. Provides program and agency information and/or makes referrals to other community resources. Greets visitors, responds to general questions, and directs callers to proper location. Performs other duties as assigned and required to maintain unit and program operations. Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work\-related contacts. Attends work regularly in accordance with agency leave policy. Knowledge, Skills and Abilities (KSAs): Advanced skills in various software programs including Outlook, Excel, Word, and PowerPoint. Skilled in using IMPACT is preferred. Skilled in working in an office supporting several staff members. Ability to effectively handle multiple assignments in a dynamic environment. Must be detail oriented and demonstrate strong organizational and interpersonal skills. Must be skilled in communicating via multiple methods such as email, telephone, virtual conferencing, and in person communication. Registrations, Licensure Requirements or Certifications: Notary Certification Initial Screening Criteria: Graduation from high school or equivalent One year full\-time administrative support, general office, clerical, secretarial or Texas Department of Family and Protective Services experience. Acceptable Substitutions: Thirty semester hours from an accredited college or university may be substituted on a year\-for\-year basis for the required experience. Preferred: 2\-3 years in the CPS/CPI program. Knowledge of the CPS programs. * 2\-3 years of strong extensive knowledge of Excel \& PowerPoint.
