Position Summary The Program \& Administrative Assistant provides administrative support to the Executive Director, the Board of Directors, and senior staff of the organization. Additionally, this position will support and coordinate the logistics for any scheduled events and meetings – both internal and external (ex. Board of Director meetings, stakeholder trainings/symposiums, Rapid Response events). The Program \& Administrative Assistant also oversees the certification and tracking of program participants throughout the 11\-county Workforce Development Area by managing the flow of required information via data entry and required documentation. Duties and Responsibilities Data, Reporting and Systems · Assist in program\-related database functions including data entry, paperwork and review of program participant eligibility determination, participant tracking, training and supportive service approval; · Assist in the development of appropriate reports to facilitate management and coordination of designated workforce development programs and services; · Assist the Policy \& Performance Manager in ensuring program data is entered accurately and complete follow up on missing data elements found during monitoring reviews. Administrative Reviews and process assigned participant supportive services requests for all Bay Area WDB programming; Manage, organize and update information on the organization’s shared server, as well as organization email lists; Assist in putting together branded materials and presentations for meetings and events; First point of contact for the organization via email and the phone system; Send out communication and programmatic updates to community partners and board members as needed for various board staff. Executive Director Support Develop, update, file, and distribute agendas, meeting presentations, schedules, rosters, meeting records and other communications; including posting public notices of meetings; Organize meeting logistics and scheduling (internal and external); Organize and update organization policies, procedures and official documents; Prepare required state and federal reports; Service as central point of contact for Executive Director; Marketing and Social Media · Coordinate, draft, schedule, and post content on the organization’s social media page(s); · Assist with basic website updates, including uploading documents, updating announcements, adding links, and refreshing program or event information; · Work with staff across departments to gather program updates, success stories, event information, photos, announcements, and other content for public sharing; · Ensure proper spelling, grammar, formatting, accessibility, and brand consistency across online content; · Monitor social media activity, comments, messages, and engagement, and elevate items that require follow\-up; Other Duties Assist with logistics and other support for Youth Advisory Council Meetings; Assist staff with other projects as needed under the guidance of supervisor; Perform other duties as assigned. Qualifications 1\. Associate’s Degree in Human Services, Business, or related field, OR established relevant work experience; 2\. Demonstrates strong written and oral communication skills, follow\-through, attention to detail, accuracy, and the ability to prioritize tasks effectively; 3\. Minimum of one year experience preferred, in general office procedures, data entry and computer database systems management; 4\. Demonstrates a willingness to learn new systems, tools, and processes, and approaches new tasks with confidence, flexibility, and a positive attitude. Relationship The Program \& Administrative Assistant is an hourly, full\-time, permanent, non\-exempt position at the Bay Area Workforce Development Board reporting to the Executive Director and Director of Impact and Operations, respectively.
