Summary We are looking for an entry\-level Administrative Assistant to join our back\-office operations team. This is a high\-impact support role that keeps our leadership team, operations, and employees moving forward every single day. Reporting directly to the Admin Manager and supporting the Leadership Team, you will own the administrative execution layer of our business — managing schedules, coordinating logistics, handling day\-to\-day employee questions, and ensuring nothing falls through the cracks. You will also provide administrative support to our Operations team and play a key role in keeping our back\-office processes running smoothly across both our parent company and our growing subsidiary. This is not a project management role. It is a precision administrative role for someone who takes pride in doing the fundamentals exceptionally well — someone organized, reliable, proactive, and genuinely excited to support a team doing meaningful work in digital accessibility and inclusion. On a daily basis, you will: Coordinate all meeting logistics — calendar invites, Zoom links, tech setup, pre\-reads, and day\-of support Manage event and conference logistics from start to finish — reservations, venue, catering, and on\-site coordination, team member registration, travel, hotel, flights, itineraries, and ground transportation Draft, route, and manage routine correspondence on behalf of the Admin Manager and President, and other members of the Leadership Team as needed Manage the admin email inbox — monitor for urgent items, route incoming emails to the appropriate team member, and flag anything requiring a response to the Admin Manager. Coordinate all professional development logistics — registrations, scheduling, and completion tracking, and retention agreements as appropriate Handle employee gift basket purchasing — researching, ordering, and coordinating delivery for client and employee milestones Track employee birthdays and work anniversaries; flag to cultural lead for recognition actions Manage office supplies ordering and all physical office administration Prepare and assemble new hire welcome packages — physical and digital Respond to day\-to\-day employee questions on PTO, HR policies, T\&E, benefits, and payroll; escalate appropriately Support admin office hours (1x weekly) — serve as first point of contact for employee drop\-in questions Enter and maintain data in compliance trackers, 1Password, CDP emissions log, and other administrative systems Upload recognition emails and documents to employee files in iSolved HRIS Support RFP logging and document management — filing opportunities in the RFP tracker and Google Drive (subsidiary) Prepare executive meeting materials, pre\-reads, and agendas as directed Support the Admin Manager's and President/CEO's calendars — scheduling, rescheduling, conflict resolution, and meeting prep Support leadership team CEO, President, COO and Chief of Staff action item tracking and follow\-up after meetings (internal and external) Performance Priorities Organization \& Attention to Detail: Reliability \& follow\-through are critical. Be the person the team counts on. Tasks get done on time, accurately, and with no surprises. Manage multiple competing priorities with precision, asking for support early. Maintain accurate records, well\-organized files, and clean data entry across all administrative systems. Communication: Communicate clearly and professionally with team members, vendors, clients, and leadership. Route information to the right person quickly and accurately. Proactive Support: Anticipate needs before they become requests. Identify gaps, flag issues early, and bring solutions — not just problems. Collaboration: Develop a deep understanding of the work, team capacity, and timelines. Actively problem\-solve with cross\-functional teams.
