Pay Details: $25 to $35 per hour (depending on experience level). This is a full\-time 40\-hour per week position. Schedule: Monday\-Friday 8:00am\-5:00pm in\-office working at our front desk. Up to 12 paid holidays each year Essential Duties and Responsibilities: In collaboration with Office Manager, oversee all aspects of general office coordination and provide excellent customer service in a fast\-paced environment. Answer and direct phone calls to relevant departments or contacts. Respond to voice mails and all other communication in a timely manner. Greet all customers and vendors, the front desk is visible to the office entry. Open, sort and distribute mail daily, including confidential materials Prepare and mail outgoing mail or packages and notarize documents as requested. Assist with Coordinating conference room scheduling and Hoteling offices as needed. Assist with accounts payables scanning and uploading, including data entry. Handle all building communication and maintenance requests including employee security badge orders, replacements, and parking passes. Arrange for the repair and maintenance of office equipment including furniture, copiers, and postage machines. Order all supplies for the corporate offices including office and kitchen supply needs. Maintain an appropriate stock of office supplies, food, coffee, and drinks. Review and approve office supply orders for the organization. Keep common area office spaces and kitchen/break rooms clean and organized. Run and unload the dishwasher daily. Regularly assist with reporting, projects, and presentations. Organize, research, and gather data as necessary. Generate copies of printed materials and proof the quality and consistency of the copies on an as\-needed basis. Assume responsibility for strict adherence to company graphic standards for all documents and presentation materials. Create and maintain various filing systems in an accurate and organized manner. Review, purge, and forward files to appropriate storage location in accordance with company record retention policy. Maintain and update employee, client, and vendor contact information. Distribute contact lists on a regular basis. Support employee onboarding and various system’s user access as assigned. Coordinate and facilitate birthday, thank you, get well and other cards or correspondence as appropriate on behalf of the corporate office. Order flowers and gift cards as requested. Oversee the Admin shared email inbox by responding to inquiries in a timely manner. Complete assigned tasks by deadlines and communicate any obstacles with your supervisor in advance. Attend training classes as scheduled and assigned. Additional duties as assigned by supervisor. Minimum one year of administrative support or office management experience, preferably within a service focused field. Four\-year degree preferred. Hold a notary public license or willingness to obtain one. Excellent written and verbal communication skills. High school education or equivalent required.
