Personal Assistant/Household Manager

Personal Assistant Long Beach, CA $32/hour Expected hours: 30\-40 hours per week, with flexible schedule. Location: Long Beach/South Bay We are a married LGBT couple that runs a family\-owned heavy manufacturing company in Compton. One of us is also a litigation partner at a large Los Angeles law firm, and the other is also a musician and vintage guitar collector with multiple businesses scheduled to open in the Santa Ynez Valley over the next few years. We split our time between homes in Long Beach, Studio City, and Solvang (located in the Santa Ynez Valley near Santa Barbara). No kids, just us and two cats – but we are busy and need to hand off as much of life’s to\-do list as possible. We have an adult nephew in Torrance who also needs help; probably 8\-10 hours weekly out of the 30\-40 total. You need to be trustworthy, reliable, outgoing, highly organized and detail oriented, able to carry out instructions correctly, work cooperatively with others to accomplish whatever is needed, proactively anticipate and address issues, and work with very limited supervision. We’ve had an L.A.\-based assistant for a couple of years who has traveled to Solvang periodically to help there. With our current assistant about to move on, we’ve decided to split the job in two: this position plus a dedicated assistant in Solvang. The goal is for the two assistants to work together to support us as seamlessly as possible. We’ll be direct: We don’t have a lot of time to supervise, or to be in the middle of assistant\-to\-assistant communications. A big part of this job is maintaining our Long Beach and Studio City residences: ensuring we are stocked with groceries and other provisions, light housekeeping, handling ongoing maintenance and repairs, supervising landscape maintenance people and house cleaners, finding and supervising tradespeople, etc. Another part is administrative work like retrieving mail, unboxing incoming packages, breaking down boxes, and handling outgoing mail/packages, scanning, and filing. The rest is a mix of running errands, handling car upkeep, lending a hand with the cats, and whatever else needs to be done. We also sometimes need to be driven to and from dinner and local events in our personal vehicle. As a rule, you’ll work more hours when we are in residence, and fewer when we are in Solvang. You will handle similar types of work for our nephew and may need to watch his son from time to time. Our Long Beach condo will be your primary work location; you will also spend time on the road and working remotely. We will provide a laptop and remote work stipend. This position requires regular driving to our Studio City home and our nephew’s home in Torrance, and occasional driving to our Solvang residence. We will provide a vehicle for you to use, but you may occasionally need to use your personal vehicle, in which case we will reimburse you for mileage in excess of your regular commute to Long Beach and pay you a per diem for meals when traveling to Solvang. Responsibilities include, but are not limited to, the following: \- Grocery shopping; make sure house is stocked and fully functional upon our arrival; assist with unloading when we arrive \- Make sure cat food/water fountain/clean litter box are ready when we arrive, do daily pop\-in visits for the cats when they are in Long Beach or Studio City and we are not (which is not often, as they are usually with us), maintain hummingbird feeder in Long Beach, pop in on our nephew’s cats in Torrance if needed (this will be very rare) \- must love animals! \- Light housekeeping (e.g., tidying, dishes, laundry) \- Collect and process incoming mail and packages, scan and file important papers \- Maintain accuracy of wine cellar inventory on cellartracker.com \- Ensure cars are clean and fueled; take in for scheduled maintenance and any needed repairs \- Run errands (e.g., hardware store, package returns) \- Drive us in our car when needed – occasionally to dinner (generally one\-way, except on special occasions – we typically return home via Lyft/Uber), to/from airport, occasional local events (e.g., concerts) \- Supervise house cleaners, gardeners, and contractors/tradespeople to maintain residence, oversee repairs as needed \- Find/supervise additional helpers when needed (e.g., plumbing, electrical) \- Watch our nephew’s son from time to time \- Miscellaneous organization projects, source household items \- Provide us with email status updates at start and end of each work day \- Communicate regularly with Solvang assistant and work together to provide seamless overall support Skills: \- Strong communication and supervisory skills \- Excellent time management to prioritize tasks and meet deadlines \- Basic knowledge of construction – enough to supervise contractors to exacting specifications \- Able to provide childcare for a bright 11\-year\-old who has autism \- Solid computer skills including Mac and Windows, Microsoft Office Suite and Cozi app, as well as internet research \- Able to handle confidential information discreetly; must sign confidentiality agreement \- Reliable transportation and clean DMV, pass background check \- Able to lift 30 pounds \- Knowledge of different fabrics and how to clean them (don’t shrink my laundry!) \- Knowledge of what does and doesn’t go in the dishwasher (don’t dull my knives!)
