Job Overview: We are seeking a highly organized and detail\-oriented individual to join our team in a unique role. As an Administrative and Technical Assistant, you will bridge the gap between clerical support and operational technology. This role provides administrative support to the Executive Director and other staff as needed by assisting with correspondence (phone and mail,) meetings, calendars, record keeping, and miscellaneous clerical duties. In addition, this position assists with the smooth operation of the church’s technology, including basic IT and software troubleshooting, copier/printer operations, Zoom and other virtual meeting set\-ups. This position involves a variety of tasks and assignments, so no two days are likely to be the same. Responsibilities: \- Provide administrative support primarily to the Executive Director, and at times to the Finance Administrator, Pastors, Marketing \& Communications Coordinator, and Director of Facilities. \- Troubleshoot computer issues and coordinate resolution of issues with our IT Support partner \- Assist with large mailings and research undeliverable addresses \- Prepare correspondence to include, but not limited to, acknowledgements for the receipt of pledges, contributions made via grants, IRA accounts, and stock transfers, and memorial gifts. \- Assist with completing property and business insurance renewals. \- Assist in coordinating special events \- Help gather and organize documents for Workers Comp and Financial audits. \- Maintain computer and IT equipment inventory records. \- Provide support to the Finance office by copying, scanning, filing, bank deposits, and other tasks as necessary \- Maintain church database, and work with staff to develop procedures and processes for updates \- Assist with Human Resource tasks including, but not limited to, processing PTO records, setting up new employee files, and general record keeping. \- Assist in calendar maintenance and meeting set ups. \- Provide back\-up coverage for Office Assistant at Reception desk. \- Assist with recognition of staff (hire date anniversaries, retreats and luncheons). \- Assist in coordinating special events (i.e. Presbytery meetings, Elder/Deacon Gathering, Speakers events, etc.) \- Gather and track Easter Lily and Christmas Poinsettia forms ensuring payments are received. \- Send out committee meeting reminders, as needed. \- Attend weekly staff meetings and others meetings as requested. Qualifications: High school graduate or GED required, Bachelor’s Degree preferred. High proficiency in standard office suites with emphasis on Microsoft Office. Proficiency in learning new software and setting up limited hardware. Excellent verbal and written communication. Demonstrated ability to use discretion when working with confidential information. Exceptional multitasking and problem\-solving skills. Demonstrated knowledge, experience, and/or education in administration with additional emphasis on data entry and IT systems.
