Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to ensure the smooth functioning of our office environment. Whether managing schedules, handling correspondence, or supporting various administrative tasks, you’ll be at the heart of our team’s success. Responsibilities Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth. Maintain organized filing systems, both physical and digital, ensuring easy access to documents and records. Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial processes. Schedule appointments, manage calendars, and coordinate meetings for staff members or executives. Provide excellent customer service by supporting clients, vendors, and internal teams with timely assistance. Assist with office management duties such as ordering supplies, organizing files, proofreading documents, and supporting general administrative functions. Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, presentations, and correspondence. Support clerical tasks including typing, proofreading, and maintaining accurate records of communications. Demonstrate strong phone etiquette by handling inquiries professionally and courteously across multiple channels. Experience Proven office experience with a focus on administrative support roles; experience in medical or dental reception is a plus. Familiarity with office management systems such as QuickBooks, Microsoft Office Suite, Google Workspace, and multi\-line phone systems. Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment. Excellent communication skills—both verbal and written—with attention to detail in proofreading and data entry. Demonstrated ability to handle clerical duties such as filing, calendar management, and document preparation accurately. Previous customer service experience emphasizing professionalism and positive interaction with clients or patients.
