Job Overview At 2020 Vision Youth, we are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and facilitating efficient communication across departments. Duties Manage complex calendars, schedule appointments, and coordinate meetings with precision and attention to detail Handle incoming calls using multi\-line phone systems with professionalism and courtesy, practicing excellent phone etiquette Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy Maintain organized filing systems, both physical and digital, including data entry and document management using Google Workspace and Microsoft Office tools Support office management tasks such as supply ordering, equipment maintenance, and front desk responsibilities including greeting visitors and managing front desk operations Assist with bookkeeping activities accounting software for basic financial record keeping Provide personal assistant support to executives, including travel arrangements, calendar management, and task prioritization Qualifications Proven experience in office administration or executive support roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills Bilingual abilities are highly desirable to serve diverse clients and team members effectively Demonstrated organizational skills with the ability to multitask efficiently in a fast\-paced environment Strong customer service orientation with professional phone etiquette and interpersonal skills Experience with office management tasks such as filing, proofreading, calendar management, and receptionist duties (medical or dental receptionist experience is a plus) Knowledge of bookkeeping procedures using QuickBooks or similar software is preferred Ability to handle confidential information discreetly while maintaining a positive attitude and proactive approach Join us as an Executive Assistant and become an integral part of our vibrant team!
