Data Entry Specialist (QuickBooks Desktop Experience Required) Position Title: Data Entry Specialist Department: Administration / Accounting Support Employment Type: Part\-Time Reports To: Office Manager / Controller Position Summary We are seeking a detail\-oriented and highly organized Data Entry Specialist with strong experience using QuickBooks Desktop. This position is responsible for accurately entering, maintaining, and verifying financial and operational data while supporting daily accounting and administrative functions. The ideal candidate will possess excellent data entry skills, strong attention to detail, and the ability to work efficiently in a fast\-paced environment. Experience with QuickBooks Desktop is required and will be a primary factor in candidate selection. Essential Duties \& Responsibilities QuickBooks Desktop Functions Enter and maintain customer, vendor, and inventory records in QuickBooks Desktop. Process customer invoices, vendor bills, purchase orders, and credit memos. Apply customer payments and maintain accurate accounts receivable records. Assist with accounts payable data entry and invoice processing. Reconcile discrepancies between purchase orders, invoices, and receipts. Maintain organized digital and physical accounting records. Generate standard QuickBooks reports as requested by management. Ensure accuracy and completeness of all financial data entered into the system. Data Entry \& Administrative Functions Enter high volumes of data accurately and efficiently. Review source documents for completeness and accuracy prior to entry. Update customer, vendor, pricing, and inventory information. Maintain spreadsheets and company databases. Assist with filing, scanning, document management, and record retention. Support office staff with administrative projects as needed. Identify and report data inconsistencies or errors for correction. Required Qualifications Minimum 2 years of QuickBooks Desktop experience. Minimum 2 years of data entry, bookkeeping, or administrative support experience. Strong knowledge of QuickBooks Desktop navigation, transactions, and reporting. Proficient with Microsoft Excel, Outlook, and Word. Excellent typing and data entry accuracy. Strong organizational and time\-management skills. Ability to maintain confidentiality of financial and customer information. High attention to detail and commitment to accuracy. Preferred Qualifications Experience in construction, cabinet manufacturing, home improvement, or related industries. Familiarity with inventory management processes. Experience processing accounts payable and accounts receivable transactions. Basic bookkeeping knowledge. Skills \& Competencies QuickBooks Desktop Expertise Data Accuracy \& Verification Financial Record Maintenance Organization \& Prioritization Problem Solving Communication Skills Spreadsheet Management Attention to Detail Physical Requirements Ability to sit for extended periods while working at a computer. Ability to occasionally lift files or office materials up to 20 pounds. Ability to perform repetitive keyboard and data entry tasks. What Success Looks Like Accurate and timely entry of financial and operational data. Well\-maintained QuickBooks records with minimal errors. Efficient processing of invoices, bills, and customer payments. Organized documentation that supports accounting and operational workflows. * Reliable support to accounting and administrative teams. QuickBooks Desktop proficiency is required for this position. Candidates without hands\-on QuickBooks Desktop experience will not be considered. your career in office administration.
