SUMMARY:
The Building Secretary provides full administrative support to the Principal and staff, as well as directly dealing with parents and students. Perform numerous duties including writing correspondence, emailing, greeting visitors, answering questions, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Consistently promotes fairness, respect, and different viewpoints in all responsibilities.
- Maintain strict confidentiality in dealing with all records and school business.
- Serves as receptionist.
- Operates and maintains standard office equipment.
- Opens and distributes building mail.
- Building liaison to staff, students and public including production of monthly newsletter, electronic sign content, school website updates and electronic mail blasts as needed
- Prepares, types, copies, distributes, file records/reports, correspondence, mailings etc. related to building functions.
- Maintains and updates building filing systems.
- Responsible for enrollment/registration process
- Responsible for the input of purchase orders, process invoices for payment and monitor building accounts
- Maintain and update student daily attendance files.
- Responsible for orienting substitute teachers and building substitutes.
- Responsible for collecting and disbursing monies received through the building including petty cash etc.
- Maintain office supplies.
- Responsible for the collection and submission of attendance/payroll for the building staff.
- Assist building Administrators in building events including but not limited to picture day, vision and hearing screening, parent\-teacher conferences, kindergarten roundup.
- Input/maintain student information utilizing district and vendor software applications.
- Data enters new student information according to district requirements.
- Request student records for newly enrolled students and send out requested records for withdrawn students.
- Provides assistance in bookkeeping and maintenance of school and student records and accounts.
- Keep in confidence all personal, student or personnel records and information.
- Participates in district and school initiatives, adheres to building and district school improvement plans.
- Adheres to, interprets and implements all district policies, administrative guidelines and procedures.
- Conducts behavior to demonstrate collegiality and professionalism.
- Regular and reliable attendance is an essential job function.
- Performs other duties as assigned by the Principal.
- Position does not have any supervisory responsibilities.
- High School Diploma or equivalent.
- Excellent office and customer service skills.
- One\-year secretarial experience preferred.
- Applicant must satisfactorily pass a criminal background check as defined by the State of Michigan.
- Good work habits, including punctuality and good attendance record.
- Ability to read, analyze and interpret periodicals and professional journals.
- Ability to effectively present information and respond to questions from groups of educators, students and the general public.
- Ability to express yourself clearly, both orally and in writing.
- Ability to read, analyze and interpret information.
- The ability to integrate technology into the everyday work flow is necessary.
- Ability to utilize District technology and work to maintain proficiency, as required skill sets change with technology and/or the needs of the district.
- Ability to use computer technology for research, data management, communications and other instruction.
- Ability to use a personal computer (PC) or MAC in a networked environment to utilize the Internet and other electronic communications mechanisms.
- Knowledge of productivity applications such as Microsoft Office (word processing, spreadsheets, database and presentation software) is required.
- Ability to apply the concepts of basic math, algebra and geometry consistent with the duties of this position.
- Highly proficient in subject areas of: reasoning, problem solving, organizational dynamics and emotional intelligence.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

TERMS:
The contract, salary and other employment conditions are to be determined by the current collective bargaining agreement between the Lincoln Consolidated Schools and the Lincoln Education Associates Organization (LEAO).
