Job Purpose:
- The Admin Assistant Head Start at the Community Action Agency of Oklahoma is responsible for providing administrative support to the Head Start program. This role is essential in ensuring the efficient operation of the program, facilitating communication between staff and stakeholders, and maintaining accurate records and documentation. The Admin Assistant plays a pivotal role in supporting the mission of the agency to provide quality early childhood education and services to the community.
- Coordinate and manage daily administrative tasks to support the Head Start program, including scheduling meetings, preparing reports, and maintaining records.
- Serve as a liaison between the Head Start program staff, parents, and community partners, ensuring effective communication and collaboration.
- Assist in the preparation and organization of program events, workshops, and training sessions.
- Maintain and update program databases, ensuring accuracy and confidentiality of information.
- Support the Head Start program director and staff in implementing program policies and procedures.
- Handle inquiries and provide information about the Head Start program to parents and community members.
- Assist in the preparation of program budgets and financial reports, monitoring expenditures and ensuring compliance with agency guidelines.
- Perform other administrative duties as assigned to support the overall goals of the Community Action Agency of Oklahoma.
- High school diploma or equivalent is required.
- An associate degree in business administration, office management, or a related field is preferred.
- Minimum of 3 years of experience in an administrative or clerical role, preferably within a non\-profit or educational setting.
- Experience working with diverse populations and understanding of cultural sensitivity.
- Proven track record of managing multiple tasks and projects simultaneously in a fast\-paced environment.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work collaboratively with a team.
- Detail\-oriented with a high level of accuracy in data entry and record\-keeping.
- Ability to adapt to changing priorities and work independently with minimal supervision.
