ABOUT THE ROLE

We're looking for a sharp, dependable Executive Assistant who takes ownership and keeps things running smoothly behind the scenes. You'll work directly with senior leadership — managing calendars, handling communications, and supporting special projects — and you'll be the person the whole team relies on to stay organized and on point.

This is a fully remote, full\-time paid position for someone who thrives in a fast\-paced environment and genuinely enjoys being the operational backbone of a team.

WHAT YOU'LL DO

  • Own complex calendars — scheduling, rescheduling, and anticipating conflicts before they happen
  • Be the first point of contact for incoming communications: answering multi\-line phones, fielding emails, and directing inquiries with professionalism and warmth
  • Draft, proofread, and polish correspondence, reports, and presentations
  • Maintain organized digital filing systems using Google Workspace and Microsoft Office Suite
  • Support data entry, light bookkeeping in QuickBooks, and day\-to\-day operational tasks
  • Assist leadership on special projects — research, documentation, and progress tracking
  • Handle sensitive and confidential information with absolute discretion

    WHAT WE'RE LOOKING FOR

  • Experience: Prior work in administrative support, office management, or a similar role
  • Tech skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar); QuickBooks experience is a plus — we'll train the right person
  • Communication: Clear, professional written and verbal communication; bilingual candidates are strongly encouraged to apply
  • Detail\-oriented: Strong proofreading, data accuracy, and organizational skills
  • People\-focused: Warm, professional demeanor whether on calls or in writing
  • Self\-directed: Comfortable working independently in a remote environment and managing your own time effectively
  • Discreet: Comfortable handling confidential information responsibly
  • Bonus: background in personal assistance or medical/dental reception.
