We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executives
  • Handle incoming calls using multi\-line phone systems with professionalism and courtesy
  • Prepare, proofread, and edit correspondence, reports, and presentations with precision
  • Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
  • Assist with data entry, bookkeeping, and financial record\-keeping using QuickBooks or similar software
  • Support office management tasks such as supply ordering, equipment maintenance, and front desk operations
  • Provide exceptional customer service by addressing inquiries promptly and courteously
  • Support personal assistant responsibilities including travel arrangements and event planning
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Demonstrated experience in office management, clerical work, or administrative support
  • Knowledge of phone etiquette and customer support best practices
  • Typing speed of at least 60 words per minute for efficient data entry and correspondence drafting
  • Attention to detail for proofreading documents and maintaining accurate records
  • Time management skills to handle multiple priorities seamlessly
  • Experience as a dental or medical receptionist is advantageous but not required
  • Personal assistant experience that includes calendar management and scheduling coordination
