Overview
Seeking a professional, organized, and detail\-oriented Receptionist / Legal Intake Coordinator to support attorneys and paralegals in a fast\-paced Texas litigation practice. This position serves as a critical first point of contact for clients, courts, and outside parties and requires strong communication skills, sound judgment, and the ability to efficiently manage a high volume of calls and administrative tasks.
The ideal candidate is proactive, dependable, and capable of multitasking in a deadline\-driven environment while maintaining professionalism and accuracy. Success in this role requires strong organizational skills, excellent phone etiquette, attention to detail, and the ability to communicate clearly with both internal legal teams and outside parties.
This is a full\-time, in\-office position.
Our firm represents institutional clients in specialized areas of Texas tax and foreclosure litigation. Because we do not market to the general public or accept consumer\-facing matters, we maintain a limited public presence.

- Manage multi\-line phone systems professionally while demonstrating excellent phone etiquette and customer service
- Serve as a filter for attorneys and paralegals by determining when to take messages, escalate matters, or forward calls
- Perform accurate data entry and create clear, organized notes for legal teams
- Bill for time and maintain accurate records when appropriate
- Utilize office management software including Microsoft Office, Zoom Phone, and Clio Manage
- Support office administration activities including correspondence, clerical duties, typing documents, organizing files, and assisting with billing tasks
- Coordinate communications between clients, courts, attorneys, and staff
- Maintain professionalism and confidentiality while handling sensitive information
- Assist with miscellaneous administrative and operational tasks as assigned
- Prior experience in a receptionist, administrative assistant, or customer service role
- Strong clerical, organizational, and multitasking abilities
- Excellent written and verbal communication skills
- Professional phone etiquette and interpersonal skills
- Ability to efficiently prioritize work and manage high call volumes
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office programs including Word and Outlook
- Ability to work independently and collaboratively within a team environment
- Ability to remain calm and professional in a fast\-paced environment
- Experience with multi\-line or cloud\-based phone systems such as Zoom Phone
- Familiarity with Clio Manage or other legal case management software
- Prior experience in debt collections, legal administration, or customer service environments
