We are looking for a detail\-oriented Assistant to support our Los Angeles office. This position plays an important role in keeping daily operations organized by assisting executives and administrative team members with a wide range of clerical and office coordination tasks. The ideal candidate is detail\-oriented, dependable, and comfortable managing competing priorities in a client\-facing environment.
Key Responsibilities:
\*Performing general clerical duties
\*Manage daily on\-site office operations, including mail distribution, filing, and office supply inventory.
\*Sorting and distributing internal mail and arranging outgoing mail
\*Maintain a professional and organized front\-office environment.
\*Manage some incoming phone calls, handling calls efficiently and professionally using proper phone etiquette
\*Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
\*Maintain organized filing systems, data entry records, and manage various office duties.
\*Support office management and general administrative support
\*Coordinate internal meetings, including room scheduling and catering when necessary.
\*Provide direct administrative assistance to the leadership team as needed.
\*Handle sensitive information with the utmost confidentiality and discretion.
\*Taking notes, organizing calendars, and managing internal office events
\*Coordinating, consolidating, and disseminating information
\*Sorting and distributing internal mail and arranging outgoing mail
\*Ordering, maintaining, and coordinating supplies for staff
\*Mail Distribution: Incoming and Outgoing
\*Troubleshooting and coordinating repairs to office equipment
\*Replying to general public inquiries through email, telephone, or in\-person
\*Assist with clerical and administrative tasks such as document formatting, calendar coordination, billing review support, expense processing, client intake activities, and outgoing mail or print projects.
\*Provide assistance with internal events and client meetings, including arranging refreshments, room setup, and cleanup responsibilities.
\*Assist with special projects, reports, and data entry tasks.
Pay: $28\.00 \- $36\.00 per hour
