Part\-Time Position Available Day Shift

We are looking for a part\-time Receptionist to work the hours of 8a\-4p (Tues\-Thurs) to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company.

Our Receptionist’s duties include offering administrative support for Clients and Counselors. You will welcome clients and greet people who visit the business. You will coordinate front\-desk activities, including distributing correspondence, handling the intake of new clients, communicating with clinicians directly, and maintaining accurate client records.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and calm manner, while streamlining office operations. Multitasking and stress management skills are absolutely essential for this position. We are a paperless office, so a certain degree of competence with computers is a must. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes clients positively, and executes all administrative tasks to the highest quality standards.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and handle all incoming phone calls
  • Ensure reception \& office area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in\-person and via phone/email
  • Efficiently handle all client intakes
  • Update calendars and schedule appointments
  • Keep updated client records
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing
  • Skills Required

  • Proven work experience as a Receptionist OR similar role
  • Familiarity with Google Drive is a plus
  • Medical Office experience is a plus
  • Hands\-on experience with office equipment required (e.g. virtual fax machines and printers)
  • Efficient computer skills are required \- We have a paperless records system
  • Professional attitude
  • Reliability is essential and required
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time\-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree
