JOB GOAL: *Profile of a Natick Educator*

To maintain an efficient and smooth flow of business through the middle school main office. To provide secretarial support to the principal and the vice principal.

QUALIFICATIONS

* Education: Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing and bookkeeping.

* Professional Certification: n/a

* Specialized Knowledge:

  • + Experience with Google Suite (Drive, Docs, Sheets, Slides, etc.), Microsoft Office (Word, PowerPoint, Excel), PowerSchool, Constant Contact preferred, but will train the right candidate.
  • + Understanding of and commitment to the principles and practices of diversity, equity, inclusion, and social justice as they relate to hiring and supporting staff, students, and families.

    * Preferred Experience: Two years experience of increasingly responsible related experience, or any equivalent combination of related education and experience.

    * Skills:

  • + Demonstrated aptitude for work to be performed
  • + Bilingual skills, especially in Spanish and Portuguese, are highly desirable

    + Ability to work independently

    + Willingness and ability to help other co\-workers as needed.

    + Excellent human relations skills required. Ability to work collegially and cooperatively with all constituencies within the school community is essential

    + Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures

    + Skill in operation of listed tools and equipment; typing/word processing

    + Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations

    + Ability to handle large volumes of work and a variety of jobs associated with the running of a busy office in an efficient and accurate manner

    TOOLS AND EQUIPMENT USED

  • Phone console; intercom; personal computer, word processing applications (Google Duite, Microsoft Office), Activity Accounts software package, copy machine; camera; calculator; fax machine.
  • ESSENTIAL FUNCTIONS OF THE JOB (not limited to)

  • Perform all routine clerical and administrative tasks; answering telephones, receiving the public, maintaining the visitor log, filing, data processing, copying, bookkeeping
  • Receive, stamp and distribute incoming mail; process outgoing mail
  • Prepare correspondence, reports, notices, recommendations, memoranda, student records, monthly statements and other material requiring judgment as to content, accuracy and completeness
  • Maintain student records. Establish and maintain filing systems, control records and indexes using moderate independent judgment. Send 8th grade records to the high school guidance department every summer. Ensure feeder schools send incoming 5th grade folders before the end of the school year
  • Make homeroom list each year (Full Year only)
  • Update student and teacher handbooks each year (Full Year only)
  • Maintain inventory and order office and classroom supplies and material
  • Schedule appointments and make arrangements for conferences and interviews for the principal
  • Receive and orient substitute teachers as necessary. Ensure substitute folders are prepared and available to substitutes
  • Assist teachers in copy room; order supplies, make service calls
  • Process all changes and adjustments in student schedules
  • Assist with nurse’s call\-back and first\-aid log recordings
  • Work with school leadership to combat systemic barriers that limit student, family, and staff members’ equitable access to opportunity
  • Maintain school order purchases and school budget in collaboration with principal
  • Other duties as assigned

  • operate a computer and other school/office productivity machinery (i.e., iPad, copy machine, computer printer, assistive technology, etc.);
  • read material from a computer monitor as well as handwritten or printed matter with or without visual aids;
  • position oneself to maintain files and access school/classroom/office materials;
  • communicate with others so that information received and given is understood and accurately communicated;
  • communicate and collaborate effectively with students, parents, and other staff members in person, via video conference, on the telephone, and/or in writing;
  • observe details at close range
  • in the school setting, ensure the safety of students;
  • multitask and meet multiple demands from several people;
  • may need to teach and support students with life skills development such as eating, cleaning, and toileting
  • lifting up to and including 25 lbs
  • the noise level in the work environment is moderate to loud.
