About Am Tikvah
Congregation Am Tikvah, People of Hope, is a vibrant, growing Jewish community committed to learning, inclusivity, and building deep relationships among our members. Our community joined together in 2021, merging two historic San Francisco congregations, B’nai Emunah and Beth Israel Judea, and maintains dual affiliation with both the Conservative and Reform movements. As we continue to expand our programs and deepen our impact, we're creating infrastructure to support sustainable growth and ensure our rabbi can focus on what matters most: nurturing our community members’ spiritual and personal development.
The Opportunity
We're seeking an organized, proactive, and warm professional to serve as Executive Assistant to our rabbi. This is a unique opportunity to become a trusted partner in leading a thriving Jewish community and a member of a close\-knit, collaborative staff team. You'll play a crucial role in enabling deeper congregant relationships, ensuring programs launch successfully, and building sustainable systems that prevent promising initiatives from stalling.

What You'll Do
- Own the rabbi's calendar and task management, protecting time for what matters most while ensuring nothing falls through the cracks
- Build and maintain a relationship tracking system (CRM) that ensures every congregant receives thoughtful, timely attention
- Triage email, handle routine correspondence, and provide concise daily briefings so the rabbi stays focused on people, not inbox management
- Manage meetings and documentation associated with lifecycle events (b'nai mitzvah, weddings, funerals, baby namings)
- Be a warm, knowledgeable presence as needed for congregants who call or visit the synagogue
- Create simple, sustainable systems for tracking and prioritizing the many initiatives our creative community generates
- Collaborate with rabbi, staff, and lay leadership to break big ideas into actionable steps with clear timelines, milestones, and accountability
- Schedule meetings, print materials, circulate agendas and notes, track action items, and follow up on commitments
- Build institutional memory by documenting what works, what doesn't, and why
- Coordinate with Executive Director, Office Manager, senior leadership, and appropriate committees to recognize and celebrate the volunteers who make our programs possible
- Have proven experience in administrative support, executive assistance, or project coordination
- Are exceptionally organized with keen attention to detail and a commitment to accuracy
- Think in systems and processes, always asking "how can we make this sustainable and scalable?"
- Are comfortable with technology and can quickly learn new platforms (we use Google Workspace, ShulCloud, Pastoral Reach, Canva, and other tools)
- Communicate clearly and warmly in writing and in person
- Handle confidential information with discretion and maturity
- Take initiative and anticipate needs rather than waiting to be told what to do
- Have a Bachelor’s Degree or equivalent professional experience
- Bring calm, positive energy even when juggling multiple priorities
- Familiarity with Jewish traditions, holidays, and community life
- Experience in nonprofit organizations, especially faith\-based communities
- Project management training or experience
- Competitive hourly rate of $30\-35/hour for 30 hours per week

About the Pilot Period
This position is initially funded for six months through a generous donor gift. During this pilot period, our board will work on securing ongoing funding to make this a permanent role. We're committed to building sustainable infrastructure for our growing community, and strong performance in this position combined with successful fundraising makes extension highly likely.
