Hours: "Business Responsive" (Primary hours \+ high\-level availability)
We are not looking for someone to wait for instructions. At this volume, we need an operator who can interpret a situation, think critically through the variables, and take decisive action. If you see a gap in a file or a friction point in a process, you don't ask what to do—you present the solution you’ve already initiated. You must be a "self\-winding" professional who thrives on autonomy and takes pride in being three steps ahead of the Team Lead at all times.
Compensation:
$120,000 \- $150,000 yearly
Responsibilities:* Gatekeeper: You are the first line of defense. You manage the Team Lead’s inbox and calendar. If a problem can be solved without him, it’s your job to solve it.
* Audit Master: You own the accuracy of every listing and contract. You will manage team members to do the heavy lifting, but you are the final stop for Quality Control. Zero errors is the standard.
* Bridge: Our business doesn't stop at 5 PM. You are the "responsive lead" for urgent evening/weekend needs, ensuring clients receive a white\-glove experience around the clock.
* Team Leadership: You manage our team members. You hold them accountable to deadlines and quality standards.
* On\-Site Warrior: You are a local professional who understands the pace of the South OC luxury market and prefers the energy of in\-office over a remote environment.
* Outcome\-Oriented: You don't just "check boxes." You understand the why behind the task. You don't wait for a manual; you write the manual when you see a need.
Qualifications:* Obsessively Detailed: You find the typo in the 40th page of a contract that everyone else missed.
* Systems Thinker: You don't just fix a problem; you build a process so it never happens again.
* High Capacity: You can juggle 25\+ active files without breaking a sweat or losing your cool.
* Old School Grit: You value being in the office, being part of a "War Room" environment, and winning as a team.
* Proven Track Record: 3\+ years in high\-stakes Operations, Project Management, or as an Executive Assistant to a high\-producing Principal.
* Operational Excellence: Demonstrated ability to manage 15\+ concurrent files with zero\-defect accuracy.
* Tech Stack: Advanced proficiency in Follow Up Boss (or your CRM), Google Workspace, Task Software, and MLS.
* An active CA DRE License is a major plus, but this is a dedicated Operations career path, not a bridge to a sales role.
