The Department of Epigenetics and Molecular Carcinogenesis is an interdisciplinary, basic science research department conducting groundbreaking research aimed at defining the mechanisms controlling normal cell growth, proliferation, differentiation, and survival. Responsibilities
Chair \& Departmental Support
Manage daily administrative operations of the Chair's office to ensure departmental priorities are addressed.
Plan and coordinate meetings, retreats, departmental events, and teleconferences following institutional requirements.
Coordinate departmental seminars and journal clubs, including speaker travel arrangements.
Prepare supporting materials for appointments, meetings, speaking engagements, and conferences.
Assist the Chair with communication, correspondence, and executive administrative tasks.
Arrange travel, lodging, transportation, and reimbursements for the Chair and the Chair's lab.
Maintain the Chair's CV using the institutional CV system and assist with ScienCV biosketches and myNCBI publications.
Maintain confidential and sensitive information with discretion.
Ensure efficient flow of information with internal and external contacts.
Track and follow up on requests, reports, and correspondence to ensure timely completion.
Research issues, prepare executive summaries, and coordinate with internal departments to obtain needed materials.
Maintain filing systems and ensure compliance with institutional retention policies.
Maintain knowledge of institutional operations, processes, and key personnel.
Departmental Faculty Affairs
Support faculty affairs activities with strict confidentiality.
Work with departmental leadership on faculty\-related issues.
Serve as liaison to Academic Affairs and monitor policy and procedural updates.
Coordinate and administer faculty recruitment.
Maintain electronic faculty personnel files.
Assist with faculty appointments, onboarding, promotions, appraisals, and retirements or terminations.
Department Timekeeping
Apply timekeeper punch editing rules for employee timecards in Kronos Dimensions.
Monitor weekly timekeeping for accuracy and compliance.
Ensure all departmental employees' timecards reflect standard hours.
Maintain timekeeping records and respond to employee inquiries regarding timekeeping and leave balances.
Enter extramural leave, track balances, and coordinate with the Chair to request additional EXT when needed.
EDUCATION
Required: High School Diploma or Equivalent
Preferred: Bachelor's Degree
WORK EXPERIENCE
Required: Six years Administrative/secretarial experience supporting a leadership/executive level position or Two years required experience with Bachelor's degree
