Resident Facility Assistant
Overview:
The Facility Assistant plays a vital role in supporting the day\-to\-day operations of an organization by ensuring that administrative and facility\-related tasks are handled efficiently and professionally. This position often serves as a key point of coordination between staff, vendors, and management, helping to maintain a safe, organized, and productive work environment.
A successful Residential Facility Assistant must possess strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously. The role requires someone who is highly detail\-oriented, proactive with follow\-up, and capable of multitasking in a fast\-paced setting. Flexibility is essential, as responsibilities may shift from day to day and the role may be interchangeable depending on operational needs.
Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint is essential for preparing reports, maintaining records, and supporting presentations. Strong written and verbal communication skills are also critical, as the Facility Assistant regularly interacts with team members, external partners, and visitors.
Experience working in an adolescent residential facility is preferred, particularly in an administrative capacity. Familiarity with Casebook, Children Centered Care (T3C) and Texas Minimum Standards is also highly desirable. Overall, the ideal candidate is dependable, resourceful, and adaptable, with a commitment to providing high\-quality support that contributes to the smooth operation of the facility.
This role reports to the Licensed Child Care Administrator and CEO
Principal Duties:
- Facilitating clients intake including move\-out check list, room review, and packing of all students’ belongings
- Facilitating crisis intervention and de\-escalation as needed based on best practices and agency protocols
- Carrying out emergency procedures and maintaining disaster preparedness at the home in case of fire, accident, illness or disaster, ensuring evacuation routes remain posted in designated areas.
- Ensuring that necessary items such as food, hygiene, and cleaning supplies are on\-hand.
- Assisting with maintenance and upkeep of the home, reporting all home maintenance requests within 24 hours Maintenance.
- Completing assigned administrative tasks or projects such as data entry and file management.
- Communicating client health and safety concerns related to substance use or mental health and completing incident reports as appropriate.
- Maintaining excellent communication with all internal staff regarding house and resident concerns, completing daily reports, i.e incident reports as appropriate.
- Schedule and arrange transportation to residents’ appointments.
- Perform household duties such as meal preparation, light housekeeping
- Facilitate resident medical and other outside appointments, including but not limited to setting appointments, communicating appointments to appropriate staff, and transporting residents.
- Administer/supervise medications
- Review medication records daily for errors and/or omissions, report any discrepancies to appropriate partners and document in system accordingly.
- Maintain and oversee medication records, including but not limited to communicating with the pharmacy or medical provider to obtain new prescriptions and refills, and all necessary record keeping for same.
- Administer first aid to resident in response to minor medical problems as appropriate.
- Notify Direct Care Staff and/or Administrator of any significant resident medical complaint.
- Guide residents in personal hygiene techniques and the proper care of their rooms and other living spaces.
- Assist clients in meal preparation steps.
- Guide and instruct clients in proper housekeeping and laundry procedures; supervise completion of daily chores.
- Use good interpersonal communication skills to gain resident cooperation and resolve resident conflicts.

- Exercise fair, firm and consistent use of behavioral system
- Exercise appropriate intervention in accordance with the least restrictive alternative to protect clients from harming self or others.
- Interact with all clients in accordance with the treatment plan and the therapeutic process.
- Maintain therapeutic relationships with resident which does not allow self\-disclosure of personal or social information.
- Record accurate and complete information in the resident chart, if needed.
- Attends and participates in assigned organization trainings.
- Participates in weekly supervision.
- Works well with others, as team member or as an individual.
- Maintain confidentiality and privacy standards in accordance to organization policies.
- Offers feedback to administration regarding the strengths, weaknesses and potential program enhancements.
- Engages in program activities with residents in a trauma\-informed manner, taking each individual resident into consideration.
- Performs other duties as assigned.
- Experience working with at\-risk youth or youth experiencing homelessness.

- Excellent inter/intrapersonal and verbal skills.
- Ability to exercise independent judgment when appropriate; strong decision\-making skills
- Ability to communicate and work with various groups (staff, interns, volunteers, greater community).
- Working knowledge of Texas Minimum Standards, Child Centered Care (T3C), Dept. of Family \& Protective Services (DFPS) standards Health and Human Services
- Strong Knowledge of Microsoft Word and Excel, PowerPoint.
- Strong oral and written communication skills
- Must possess valid driver’s license with no driving record infractions.
- Ability to lift 25 pounds.
- Strong Knoweledge of Medication Administration
- High School diploma is required. College Degree preferred 2 or 4 year degree or certifications in related field. Candidates must have at least three years of experience in a administrative role within a Residential Treatment Center (RTC), Group Home, or Foster Care setting.
- Level One Fingerprint Clearance Card or ability to obtain one.
- General knowledge of poverty related social issues and government services.
- CPR and First Aid certification (training provided).

- Bilingual in English and Spanish (preferred).
- Knowledge of BambooHR and ExtendedReach (preferred).
- Knowledge of substance abuse, mental health indicators (preferred).
