Responsibilities

  • Manage front desk duties, including greeting visitors and directing calls with professional phone etiquette
  • Operate multi\-line phone systems efficiently to handle inquiries and route calls appropriately
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Organize files, manage calendars, and coordinate appointments for team members or executives
  • Provide exceptional customer service support via phone, email, and in person to clients and visitors
  • Assist with office management tasks such as supply ordering, filing systems, and proofreading documents
  • Support bookkeeping activities including basic invoicing and record keeping using QuickBooks or similar software
  • Requirements

  • Proven office management or administrative experience in a fast\-paced environment
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly preferred to communicate with diverse clients and team members
  • Experience with multi\-line phone systems, data entry, filing, and calendar management required
  • Knowledge of clerical procedures such as proofreading, document formatting, and record keeping
  • Customer service experience with professional phone etiquette and support skills
  • Personal assistant or medical/dental receptionist experience is a plus but not mandatory
