- Serve as a primary administrative partner to senior executives, anticipating needs and managing shifting priorities.
- Oversee complex calendar management, including coordinating meetings with internal stakeholders, external vendors, and executive leadership.
- Prepare, proofread, and organize presentations, reports, and executive correspondence with a high degree of accuracy and confidentiality.
- Track key initiatives, milestones, and deadlines to ensure operational alignment and timely execution.
- Arrange domestic and international travel, including flights, hotels, transportation, dining reservations, and detailed itineraries.
- Manage and coordinate on\-site and off\-site meetings, leadership retreats, and large\-scale events, including contracts, logistics, room setup, catering, and vendor communication.
- Manage expense reporting for supported executives.
- Screen and route correspondence; respond to emails as appropriate.
- Maintain organized digital and physical filing systems.
- Order supplies and support department\-wide initiatives and events.
- Coordinate cross\-functional communications across departments.
- Utilize Microsoft Office Suite (Outlook, Word, PowerPoint) at an advanced level.
- Quickly learn and adapt to new technology platforms and systems.
- Contribute to process improvements and workflow efficiencies where applicable.
- Highly organized and capable of managing multiple priorities simultaneously.
- Professional, composed, and discreet in handling sensitive information.
- A clear and confident communicator, both written and verbal.
