About the Role
We are seeking a dependable, highly organized, and adaptable Office Assistant to support a wide range of operational, administrative, logistics, and content needs across our team. This role is ideal for someone who thrives in a dynamic environment, exercises strong critical thinking, and can effectively balance structured responsibilities with creative work This is a hybrid, part\-time position that includes both in\-office support and remote work. Responsibilities will vary and may include administrative coordination, materials preparation, logistics support, and content creation. The Office Assistant will report to the Executive Leadership Team and will receive task requests from the Lead Teacher and other team members of Carter Hears as needed to support daily operations and organizational priorities.
Work Schedule \& Location
* Hybrid position: up to 2 days per week in the office
- Remaining work may be completed remotely
- Scan, file, organize, and securely shred documents
- Maintain accurate and orderly digital and physical filing systems
- Assist with data entry, printing, copying, and document preparation
- Support overall organization and functionality of the office environment
- Organize office storage areas and supplies
- Maintain organization of off\-site storage unit as needed
- Pack, label, and prepare materials for conferences, trainings, or events
- Track inventory of supplies and coordinate restocking
- Prepare and distribute materials to team members
- Assist with meeting and training preparation
- Support internal projects and operational needs across departments
- Help coordinate resources for team initiatives and activities
- Respond to requests from leadership, the Lead Teacher, and team members
- Develop and prepare materials using Canva or similar tools
- Create flyers, digital graphics, or documents for internal and external use
- Ensure content aligns with established branding and messaging
- Identify organizational needs and propose practical solutions
- Adapt to changing priorities and tasks
- Support process improvements that enhance efficiency
- Exercise sound judgment when handling sensitive or time\-sensitive tasks
- Perform other duties as assigned to support organizational needs
- Assist with priority projects and time\-sensitive assignments
- Strong organizational and time\-management skills (Required)
- Demonstrated critical thinking and problem\-solving ability (Required)
- Experience with content creation using Canva or similar tools (Required)
- Proficiency with common office software (Google Workspace, Microsoft Office, etc.) (required)
- Ability to lift and move boxes/materials (up to 25 lbs) (Required)
- Reliable transportation for in\-office and storage visits (Required)
- Ability to work effectively in a hybrid environment (Required)
- Prior experience in administrative, operations, or office support roles (Preferred)
- Experience coordinating logistics, supplies, or events (Preferred)
- Experience supporting small teams or multi\-function organizations (Preferred)
