For over 30 years, A Window Between Worlds (AWBW) has supported individuals and communities impacted by violence and trauma by equipping service providers and community leaders with healing art practices. Through live and on\-demand trainings, AWBW provides a framework and ready\-to\-use art activities that facilitators can integrate into their work to support healing, resilience, and connection.
After completing the training, participants join a global Community of Practice of over 1,500 facilitators and gain access to an online library of 600\+ healing art workshops.

The Training \& Outreach Assistant plays a key role within a collaborative department that delivers AWBW’s live and on\-demand trainings to hundreds of participants annually. This role is well\-suited for someone who is detail\-oriented and able to work efficiently while managing a high volume of tasks.
In this role, you will serve as the primary point person for training data entry, registrations, scholarships, payments, and trainee communication. You will also provide event production support for all live virtual trainings so trainers and participants can fully engage in the experience.

Key Responsibilities
Data, Documentation \& Logisitics
- Primary implementation for all data entry, documentation, and data hygiene across FileMaker, CMS, MailChimp, Survey Monkey, Google Workspace, and related systems.
- Process, track, and record registrations, scholarships, and payments, including initiating and managing follow\-up as needed.
- Coordinate training\-day logistics, including technology setup and execution, and serve as a key communication point for trainees before and during trainings.
- Field, respond to, and document training interest and questions via email and phone, and distribute to appropriate staff as needed.
- Track and document attendance records for trainings including Continuing Education Hours.
- Create and distribute qualitative and quantitative reports related to training participation, scholarships, and outcomes.
- Support the Training \& Outreach Manager with scholarship program implementation and documentation.
- Coordinate logistics and manage all Zoom technology for live virtual trainings and events.
- Run breakout rooms, slideshows, music, and provide real\-time technical support to ensure a smooth, supportive training experience.
- Serve as the primary administrator and support contact for AWBW’s on\-demand training hosted in TalentLMS.
- Manage trainee enrollment, track progress and completion and document participation in internal systems.
- Respond to trainee questions and escalate platform or participation issues as needed.
- Serve as the primary point of contact for all live and on\-demand training participants, maintaining organized, timely, and trauma\-informed communication from inquiry through training completion.
- Provide administrative and documentation support for department projects.
- Maintain active communication with the Training \& Outreach Manager \& Director
- Attend regular department, supervision, and cross\-departmental meetings.
- Provide periodic updates and reports on assigned projects.
- Create, document, and update departmental procedures
- Support delivery and logistics for all department offerings as requested.
- Perform other duties as assigned

The Training \& Outreach Assistant works across multiple platforms to support training operations. Training will be provided, and the role may require learning additional tools as needs evolve.
* FileMaker: Primary database for training records, facilitator information and payments.
* Google Workspace: Daily communication, document creation, tracking spreadsheets and file organization.
* Zoom: Platform used to host AWBW’s live virtual trainings and workshops
* Talent LMS: Platform used to host AWBW’s on\-demand training
* SurveyMonkey: Collection and analysis of training evaluations
* AWBW Facilitator Dashboard: Secure portal housing library of workshops and facilitator resources
Benefits
The position offers benefits for Full\-Time employees after a 60\-day probationary period, including but not limited to the following:
