Job Overview

We are seeking a motivated and highly organized Office Clerk to join our dynamic team! As an Office Clerk, you will handle a variety of clerical tasks, manage front desk responsibilities, and assist with office management duties to create an efficient and welcoming environment for staff and visitors alike.

Responsibilities

  • Greet visitors and manage the front desk with professionalism and warmth, ensuring a positive first impression.
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously.
  • Perform data entry and maintain organized filing systems, both physical and digital, including document proofreading for accuracy.
  • Manage calendar appointments, schedule meetings, and coordinate office events using tools like Google Workspace and Microsoft Office.
  • Handle incoming and outgoing correspondence, including emails, mailings, and customer inquiries with excellent phone etiquette.
  • Support bookkeeping tasks such as basic bookkeeping using QuickBooks or similar software to track expenses and invoices.
  • Assist with office management duties such as supply inventory, filing systems, and general administrative support to ensure operational efficiency.
  • Qualifications

  • Proven office experience or clerical experience demonstrating strong organizational skills.
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry.
  • Excellent communication skills with the ability to provide outstanding customer service in person and over the phone.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Familiarity with multi\-line phone systems, filing procedures, proofreading, and time management techniques.
  • Experience in medical or dental receptionist roles is a plus but not required; strong office management skills are essential.
  • Personal assistant or medical receptionist experience can be advantageous for handling calendar management and appointment scheduling.
