Job Summary

Duties
- Manage front desk operations, including greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi\-line phone systems to handle incoming calls efficiently and route messages accurately
- Maintain organized filing systems, perform data entry, and ensure accurate record\-keeping using Microsoft Office, Google Workspace, and other office software
- Assist with calendar management, scheduling appointments, and coordinating meetings for team members or executives
- Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to maintain financial accuracy
- Provide excellent customer service by addressing inquiries promptly and supporting client or patient interactions in a courteous manner
- Perform clerical duties including proofreading documents, managing correspondence, and handling general office management responsibilities
- Proven experience in office administration or support roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks accounting software is highly desirable
- Excellent phone etiquette with experience managing multi\-line phone systems and front desk operations
- Bilingual abilities are a plus to serve diverse client needs effectively
- Strong data entry skills with high accuracy; ability to perform proofreading and maintain detailed records
- Previous experience in customer service, medical or dental receptionist roles, or personal assistant positions is advantageous
- Demonstrated ability to manage time efficiently and prioritize tasks in a fast\-paced environment
