- Who can motivate, be the main role model member of the team, and be an outstanding leader who is responsible and loves taking initiative in getting results. This is a great opportunity for a leader position and to be the main assistant to the owner.
- While also help manage employees by promptly communicating with any employee who are failing to fulfill their responsibilities or not adhering to our office standards. Also, we would need you to inform the owner of any employees not performing well or not adhering to our office standards.
- We are also looking for someone to help assist in billing, has strong basic math skills for billing and proofreading skills, attention to detail by doing research, and billing accurately and on time with deadlines. Quickbooks and Adobe Acrobat experience is a plus, but not required.
- Who can train new employees on our billing procedures.
- Knows how to manage a daily schedule efficiently. Keep the owner informed of emails and give him a daily list so he is aware of our important emails. Also, we would need you to call the owner of any important emails that come into the inbox.
- Input new jobs into Monday.com, help it keep organized and detailed
- Set and reach new goals, keep track of numbers and productivity of overall and employees
- Someone who has good judgement to prioritize tasks effectively
- with employees, vendors, and customers. Who demonstrates professionalism and politeness in all communications (phone, email, and with coworkers).
- takes initiative in making phone calls necessary for operations. Ordering parts, solving problems from jobs, talking to our techs.

- Manage the billing team to reach their goals, lead the team as a role model, help assist in billing, and manage the team.
- Answering emails and keeping track of important emails
- Entering in new orders in Adobe Acrobat, Quickbooks, and Monday.com
- Responsible to alert the owner of important emails and phone calls
- Organizing and maintaining files, both physical and digital \- Sales, Vendors, etc.
- Preparing proofreading, and formatting documents
- Maintaining and billing our clients
- Supporting daily office operations and assisting owner as needed.
- Entering in billing information to process and generate invoices accurately and in a timely manner
- Conduct thorough research (looking up hours and materials) and proofreading of billing documents to ensure accuracy
- Utilize QuickBooks for billing and financial transactions
- Filling in Adobe Acrobat and placing pictures on pdfs (of the job’s work)
- Maintain organized records of billing activities
- Provide exceptional customer service when addressing billing inquiries
- Obtains a daily report from each of our workers, who are on the road of what they did
- Who will train new employees
- Keeps office running smoothly
- And various other tasks and projects when the need arises.
- Proven experience in a leadership role, assisting an owner of a company, has customer service, and billing skills.
- Familiarity with QuickBooks and Adobe Acrobat software (is a plus)
- Strong data entry skills with high accuracy
- Excellent organizational abilities to manage multiple tasks effectively
- Proficient in Microsoft Office suite
- Ability to work collaboratively in a team environment and be a responsible leader
- A history of working with pictures (files you will be working with jpg, jpegs, pdfs)
- Quickbooks: 6 months to 1 year’s experience (Strongly preferred, but will train the right candidate)
- Adobe Acrobat: 6 months to 1 year’s experience (Strongly preferred, but will train the right candidate)
