Duties

  • Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression.
  • Manage multi\-line phone systems efficiently, directing calls promptly and courteously while maintaining excellent phone etiquette.
  • Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution and filing.
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications.
  • Support calendar management by scheduling appointments, meetings, and conference rooms for staff members.
  • Perform data entry tasks with accuracy using computer literacy skills; update databases such as QuickBooks or other office management software.
  • Assist with clerical duties such as proofreading documents, preparing reports, and managing office supplies to ensure a well\-organized workspace.
  • Provide customer support by addressing inquiries in person or over the phone, demonstrating excellent customer service skills.
  • Support bookkeeping activities, including basic invoicing and record keeping when needed.
  • Perform general office management duties to ensure the smooth operation of daily activities.
  • Skills

  • Strong proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Proven experience in office administration or clerical roles with strong attention to detail.
  • Exceptional phone etiquette and customer service skills to handle inquiries professionally.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Familiarity with multi\-line phone systems, data entry processes, filing systems, and basic bookkeeping practices such as QuickBooks is preferred.
  • Ability to proofread documents carefully and maintain high standards of accuracy in all work.
  • Experience in medical or dental receptionist roles is a plus but not required; transferable skills are valued highly.
