Front Desk Administrator

Caresoft Global is seeking a professional and customer\-focused Front Desk Administrator to serve as the first point of contact for our headquarters and multi\-tenant commercial property. This role supports visitors, employees, tenants, and facilities operations while ensuring a welcoming and efficient front office environment.
Key Responsibilities
\#\#\# Reception \& Visitor Management (30%)
\\Primary Reception Duties\\
\- Greet all visitors, clients, vendors, and guests with professional courtesy and warmth
\- Manage visitor sign\-in/sign\-out procedures and maintain visitor logs
\- Issue visitor badges and ensure security protocols are followed
\- Screen and direct visitors to appropriate personnel or tenant spaces
\- Answer and route incoming calls to the main building line
\- Monitor and manage the front entrance and reception area
\- Maintain a clean, organized, and professional reception environment
\- Handle package and mail deliveries for the building
\- Coordinate conference room bookings for Caresoft Global and building tenants
\- Manage visitor parking permits and coordinate parking arrangements
\\Client \& Guest Services\\
\- Provide exceptional hospitality to Caresoft Global clients and automotive industry visitors
\- Coordinate refreshments and meeting room setup for client visits
\- Communicate arrival of guests to appropriate Caresoft Global team members
\- Assist with directions, building amenities, and local area information
\- Manage catering orders and coordinate with vendors for meetings and events
\#\#\# Caresoft Global Administrative Support (35%)
\\Employee Services\\
\- Provide administrative support to Caresoft Global employees (all departments)
\- Process office supply orders and maintain supply inventory
\- Coordinate equipment requests and IT support tickets
\- Manage employee access cards and building security credentials
\- Assist with travel arrangements and expense report processing
\- Support HR with new employee onboarding (workspace setup, IT equipment, building orientation)
\- Coordinate employee events, celebrations, and team\-building activities
\- Maintain employee directories and contact lists
\- Process incoming and outgoing mail and courier shipments for Caresoft Global
\- Support executive assistants with calendar management and meeting coordination as needed
\\Document \& Office Management\\
\- Maintain filing systems (physical and digital) for building and company records
\- Process invoices and coordinate with accounting for payment processing
\- Prepare and distribute internal communications and announcements
\- Coordinate printing, binding, and document preparation for presentations
\- Manage confidential documents with discretion and security
\- Assist with data entry and database maintenance
\- Support project teams with administrative tasks as needed
\\Technology \& Systems\\
\- Manage office technology including phone system, printers, copiers, and AV equipment
\- Troubleshoot basic IT issues and coordinate with IT support
\-set up video conferences and meetings
\- Maintain digital calendars and scheduling systems
\- Update company intranet or internal communication platforms
\- Assist with videoconference setup and support for remote meetings
\#\#\# Facility Supervisor Support (20%)
\\Building Operations Coordination\\
\- Serve as liaison between Facility Supervisor and building occupants
\- Report maintenance issues, safety concerns, and facility needs to Facility Supervisor
\- Coordinate maintenance schedules to minimize disruption to tenants
\- Monitor building systems and report irregularities (HVAC, lighting, security)
\- Track maintenance requests and follow up on completion
\- Maintain building operations calendar (cleaning schedules, maintenance, inspections)
\- Coordinate with contractors, vendors, and service providers
\- Manage work order systems and maintain service logs
\- Assist with emergency response procedures and building evacuations
\\Facility Administration\\
\- Maintain building directory and tenant contact information
\- Update building signage and wayfinding materials
\- Coordinate building access for after\-hours work or special events
\- Monitor security systems and report incidents
\- Maintain keys, access cards, and security credentials inventory
\- Assist with utility meter readings and consumption tracking
\- Support compliance with building codes and safety regulations
\- Coordinate fire drills and safety training sessions
\#\#\# Tenant Relations \& Services (15%)
\\Multi\-Tenant Building Management\\
\- Serve as primary point of contact for all building tenants
\- Address tenant inquiries, concerns, and service requests
\- Communicate building policies, procedures, and announcements
\- Coordinate shared building amenities (conference rooms, common areas, parking)
\- Manage tenant move\-ins, move\-outs, and space changes
\- Distribute building newsletters or communications
\- Facilitate conflict resolution between tenants when needed
\- Coordinate tenant improvement projects with Facility Supervisor
\- Maintain positive relationships with all tenant representatives
\\Common Area Management\\
\- Monitor and maintain cleanliness of common areas (lobbies, corridors, restrooms)
\- Coordinate janitorial services for shared spaces
\- Report damage or wear in common areas
\- Arrange seasonal decorations and building ambiance
\- Ensure adequate supplies in common restrooms and kitchen areas
\- Monitor and stock building amenities
Qualifications
- High school diploma required (Associate’s degree preferred)
- 3\+ years of front desk, reception, or administrative experience
- Strong communication and customer service skills
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Organized, professional, and able to multitask
- Experience in commercial property or corporate office preferred
