Job Summary
We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive administrative support to a busy executive. This role requires exceptional multitasking abilities, strong communication skills, and proficiency in office management tools. The ideal candidate will be responsible for managing calendars, coordinating projects, handling correspondence, and ensuring smooth daily operations. Experience in executive administrative support, event planning, and bookkeeping is highly desirable to effectively assist with both professional and personal tasks. (FREE HOUSING \- APARTMENT hence the said pay…) Would love someone on the younger side or someone who doesn’t have a lot of time commitments (family, other work, etc) that can get in the way since the Hybrid Schedule contains trade shows throughout the year and networking sessions (of course all travel paid for).
Duties
- Manage and maintain the executive’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently
- Coordinate travel arrangements, including booking accommodations and transportation
- Prepare and proofread documents, reports, and correspondence with attention to detail
- Handle phone etiquette for multi\-line phone systems and manage incoming calls professionally
- Assist with event planning for corporate or personal events, including logistics and vendor communication
- Perform data entry, filing, and clerical tasks to ensure organized record\-keeping
- Manage office supplies inventory and oversee office management responsibilities
- Utilize QuickBooks for basic bookkeeping, invoicing, and expense tracking
- Support project coordination efforts by tracking deadlines and deliverables
- Conduct transcription of meetings or notes as needed
- Perform personal assistant duties such as shopping, reservations, or other errands as required
- Prior experience in executive administrative support or personal assistant roles is essential
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and DocuSign
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy for data entry and transcription tasks
- Experience with event planning and project coordination is preferred
- Familiarity with office management practices including filing systems and front desk operations
- Customer service experience combined with professional phone etiquette is highly valued
- Knowledge of bookkeeping software such as QuickBooks or similar tools is a plus
- Proven ability to handle confidential information discreetly while maintaining professionalism at all times
