Job Summary
The Office Coordinator provides frontline customer service and administrative support for Durham’s Partnership for Children. This role ensures a welcoming, professional office environment and assists the Executive Assistant, Leadership Team, and program staff with daily operations. The Office Coordinator plays an important role in supporting Early Head Start (EHS), NC Pre\-k and Smart Start, and the other various DPfC program activities, communications, and office logistics.
Essential Duties and Responsibilities
Front Desk and Visitor Support
- Greet and assist families, visitors, and community partners with professionalism and warmth.
- Answer, screen, and direct incoming calls, emails, and visitors to the appropriate staff or department.
- Respond to general inquiries about Durham’s Partnership for Children and its programs.
- Maintain a welcoming reception area that reflects the organization’s mission and values.
- Receive and distribute mail, packages, and deliveries promptly.
- Report equipment maintenance needs and assist with inventory, unpacking, and organizing office and program supplies.
- Keep the parent resource area organized and ensure equipment (computer, printer) remains operational.
- Take ownership of site organization by centralizing all supplies into designated areas, organizing and maintaining storage areas and optimizing workspace usage;
- Maintain current supplies and materials inventory, order and restock as needed;
- Coordinate the disposal of obsolete equipment, ensuring a hazard\-free environment through proactive space management.
- Support in\-house meeting and event logistics, including preparation, setup, and cleanup.
- Provide clerical assistance including copying, scanning, filing, and basic data entry.
- Assist with preparing and distributing mailings, notices, and flyers.
- Maintain organized files and records in alignment with agency standards.
- Log all incoming checks and cash, provide logs to the Finance Department, and verify deposits monthly.
- Managing the list of offsite files by ensuring the inventory is accurately maintained.
- Collaborate with the Executive Assistant to ensure efficient office operations.
- Maintain basic knowledge of all of Durham’s Partnership for Children programs (Early Head Start (EHS) NC PreK and Smart Start) to help direct all incoming guests.
- Serve as a mandated reporter under Durham Early Head Start’s Child Abuse and Neglect Policy.
- Support agency systems such as governance, communications, and record keeping.
- Maintain confidentiality of staff, family, and organizational information.
- Participate in continuous quality improvement and reflective supervision processes.
- High school diploma or GED required; Associate’s degree preferred.
- Minimum one year of experience in customer service, clerical, or office support.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficient with Microsoft Office and comfortable with office technology.
- Professional demeanor with a strong commitment to confidentiality and teamwork.
- Enthusiasm for Durham’s Partnership for Children’s mission and values.
- Monday through Friday, 8:00 am \- 5:00 pm, with remote flexibility based on operational needs. Requires ad hoc weekend support for special events.
