Duties
- Develop and manage crew schedules using scheduling software and tools, ensuring coverage aligns with operational needs
- Communicate schedule updates and changes promptly to crew members via multi\-line phone systems and email
- Coordinate with various departments to ensure crew availability, including front desk and office management teams
- Maintain accurate records of crew hours, attendance, and shift assignments through data entry and filing systems
- Assist with onboarding new crew members by providing scheduling information and answering questions about shift expectations
- Support administrative tasks such as proofreading schedules, managing calendars, and organizing files for easy access
- Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for record keeping and reporting
- Strong organizational skills with the ability to manage multiple schedules simultaneously
- Excellent communication skills, including phone etiquette and customer support experience
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
- Experience with office management systems such as multi\-line phone systems and calendar management software
- Bilingual abilities are a plus for effective communication with diverse team members
- Clerical experience in a fast\-paced environment with attention to detail in proofreading and filing
- Knowledge of office procedures including time management, document proofreading, and record keeping
- Previous experience in administrative roles such as medical or dental receptionist or personal assistant is highly valued
- Familiarity with bookkeeping or basic financial recordkeeping using QuickBooks is advantageous
