Job Summary
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves overseeing daily administrative tasks, managing office staff, coordinating vendor relationships, and supporting overall office efficiency. Responsibilities
- Supervise daily office operations, including front desk management, multi\-line phone systems, and calendar oversight
- Coordinate scheduling for meetings, appointments, and events to optimize team productivity
- Manage vendor relationships, negotiate contracts, and oversee procurement of office supplies and services
- Coordinate daily trip logs and route planning
- Maintain Medicaid and broker documentation (if applicable)
- Handle incoming calls and appointment confirmations
- Manage driver files, insurance, and credential tracking
- Assist with invoicing and billing
- Maintain organized digital and physical records
- Ensure compliance with state and transportation regulations
- Maintain filing systems, manage medical or specialized office documentation, and ensure compliance with organizational policies
- Proven experience in office management or administrative roles with supervisory responsibilities
- Excellent organizational skills with the ability to manage multiple priorities efficiently
- Effective communication skills coupled with professional phone etiquette
- Experience in event planning, vendor management, and budget oversight
- Background in human resources or medical office management is a plus
- Demonstrated ability to lead teams, supervise staff, and facilitate training \& development programs
- Familiarity with clerical tasks such as filing, data entry, and front desk operations
