    Duties:

    Surgery Coordination:

  • Schedule surgical procedures accurately using electronic health record (EHR) systems, ensuring all necessary documentation and pre\-authorizations are completed
  • Coordinate all aspects of surgical scheduling from start to finish
  • Provide extensive patient education and pre\-operative instructions
  • Verify insurance coverage, perform insurance verification, and facilitate billing processes
  • Schedule surgeries, hospital procedures, and pre/post\-op appointments
  • Act as primary liaison between patients, surgeons, and hospital staff
  • Explain insurance coverage and costs associated with procedures
  • Coordinate surgical assistants, special equipment, and surgical materials
  • Handle correspondence with patients, hospitals, outside physicians, and insurance companies
  • Front Office Management \& Operations:

  • Manage front desk operations including patient check\-in/out, appointment confirmations, and handling multi\-line phone systems with professionalism and courtesy
  • Supervise front office staff including virtual assistants, providing training on office procedures and EMR systems
  • Review patient records for completeness and accuracy, ensuring compliance with HIPAA regulations and health information management standards
  • Maintain accurate medical records, handle filing tasks efficiently, and support office management activities to optimize workflow productivity
  • Coordinate with clinical staff to prepare care plans and ensure timely communication of patient information across departments
  • Develop, implement, and maintain office policies and procedures
  • Ensure efficient patient flow and optimal practice operations
  • Monitor staff performance and provide feedback and training
  • Support medical collection efforts and medical coding (CPT, ICD\-10\) processes
  • Requirements:

    * Associate's degree or higher required

    * LPN or RN preferred (or equivalent healthcare experience)

    * Minimum 2 years of healthcare experience required

    * Proven experience in medical office management or healthcare administrative support within a clinical setting

    * Surgery scheduling experience strongly preferred

    * Prior management or supervisory experience preferred

  • Strong knowledge of EMR/EHR systems (eClinicalWorks a plus); proficiency in Microsoft Office Suite is essential
  • Familiarity with medical terminology, CPT coding, ICD\-10 coding standards, Medicare guidelines, and HIPAA compliance requirements
  • Excellent organizational skills with ability to review documentation thoroughly and manage multiple priorities effectively
  • Exceptional communication skills with a focus on phone etiquette and customer service excellence; bilingual abilities are a plus
  • Experience with insurance verification processes and medical billing procedures
  • Ability to handle sensitive patient information discreetly while maintaining confidentiality at all times
  • Strong computer skills including typing, data entry accuracy, and familiarity with health information management software

  • Compensation:

    * Salary: $60,000 \- $100,000 per year (based on experience and qualifications)

    Schedule: Monday\-Friday, 8:00 AM to 5:00 PM. Position based in Wailuku, Maui.
