About the Role
We’re looking for a highly organized, detail\-driven Administrative \& Event Coordination Manager to support onboarding, internal operations, content logistics, client engagement, and event execution.
This role is ideal for someone who thrives in a fast\-paced environment, enjoys managing moving parts, and takes pride in keeping systems, schedules, and communications running smoothly.
What You’ll Do
Onboarding \& Admin Support
- Set up and manage internal client communications channels, including but not limited to:
- iMessage
- Support new client onboarding/offboarding tasks, including but not limited to:
- Collecting/organizing new client forms
- Granting/removing administrative accesses
- Updating internal social media platforms
- Maintain accurate internal access and communication lists
- Coordinate monthly newsletters and distribute to clients through appropriate channels
- Maintain and update internally shared calendars
- Manage administrative updates across 700\+ client communication channels
- Book flights, hotels, Airbnbs, and transportation for team members, talent, and creatives
- Source Peerspaces and Giggsters for shoots and events
- Submit and track expenses in a timely manner
- Coordinate content day logistics, schedules, and call sheets (Canva)
- Communicate schedules and details to clients and content assistants
- Order groceries, props, and shoot supplies for Content Day/Content House shoots
- Manage Content House scheduling, inventory of supplies, and client communications.
- Coordinate milestone gifts (birthdays, engagements, weddings, etc.)
- Manage monthly birthday planning and internal notifications
- Support planning and execution of Monthly Milestone Events
- Manage RSVPs, vendors, logistics, and budgets
- Coordinate with internal teams and external partners
- Assist with post\-event reporting and follow\-ups
- 2–4\+ years of experience in admin support, event coordination, or operations
- Strong organizational and communication skills
- Comfortable juggling multiple projects and deadlines
- Experience with tools like WhatsApp, Canva, Google Workspace, and scheduling platforms
- Detail\-oriented, proactive, and reliable
- Experience with HNW individual/clients and white\-glove client services preferred
- Non\-Exempt position under California law
